Position Overview:
We are looking for a meticulous and organized Financial Operations Associate to oversee the management of invoice processing, auditing, and review of external vendor billing.

The ideal candidate will demonstrate strong analytical abilities, sound judgment, and excellent decision-making skills, while being detail-oriented and capable of thriving in a dynamic work environment.


Key Responsibilities:
  • Investigate and resolve discrepancies with external vendors,
  • Assist in the vendor onboarding process,
  • Provide training to end users,
  • Maintain accurate records of ongoing projects,
  • Ensure compliance with billing deadlines.

The successful applicant should be eager to learn and understand the importance of confidentiality within the department, alongside possessing outstanding customer service skills.

Responsibilities include electronically reviewing and routing a high volume of invoices for approval in line with internal billing guidelines. You will be responsible for approving, adjusting, or rejecting invoices as per established protocols and assisting team members with inquiries regarding outstanding payments.

Manage your portfolio to reduce invoice aging by regularly reviewing and reconciling aging reports. Collaborate with external vendors, internal legal teams, and accounts payable departments to facilitate timely payment processing.

Engage with billing professionals to ensure compliance with internal billing standards. Collect monthly accruals from vendors and follow up with those who do not meet compliance requirements. Conduct research and analysis on open and unresolved items within financial systems.

Summarize findings, present information, and suggest improvements to management to enhance processes and efficiency. Participate in cross-training initiatives within the team as needed.

Work closely with the vendor setup department to assist in onboarding new vendors. Actively engage in team meetings to identify and clarify potential challenges.

Contribute to special projects as assigned by the Financial Operations Manager, which may involve generating ad-hoc reports, cleaning up system data, and processing tasks outside of standard operations.

Preferred Qualifications:
  • 3+ years of experience in financial operations or relevant billing experience.
  • Prior experience in a corporate environment, supporting multiple offices.
  • Understanding of the complete invoice lifecycle, including work in progress, billing, accounts payable, and accounts receivable.
  • Familiarity with financial software such as SAP or Oracle is essential.
  • Experience with vendor management systems.
  • Proficient in Excel and MS Office Suite.
  • Excellent communication skills with the ability to manage multiple tasks and prioritize effectively.
  • Self-motivated with a positive professional attitude.
  • Ability to work in a fast-paced environment while maintaining attention to detail and a willingness to learn new skills.
