Position SummaryThe Financial Operations Manager plays a crucial role in supporting the Controller in managing the financial activities of the organization. This position involves leading the accounting team, ensuring precise and timely financial reporting, upholding internal controls, and facilitating the organization’s mission through effective financial stewardship. The Financial Operations Manager will collaborate with various departments to deliver financial insights and aid in strategic decision-making.
Key ResponsibilitiesFinancial Oversight
- Manage the daily financial operations of the organization.
- Prepare, review, and analyze financial reports for board and management to ensure accuracy prior to Controller approval.
- Maintain the integrity of the general ledger and ensure all financial transactions are accurately recorded.
- Oversee month-end and year-end closing activities.
Budgeting and Financial Planning
- Assist in the development of the annual budget and financial forecasts.
- Monitor budgetary performance and report on any discrepancies.
- Provide financial analysis to support strategic planning and decision-making processes.
Compliance and Internal Controls
- Ensure adherence to all financial regulations and standards.
- Develop, implement, and maintain internal control policies and procedures.
- Lead the coordination and preparation for annual external audits.
Team Leadership
- Supervise and mentor the accounting team, offering guidance and support.
- Conduct performance evaluations and identify opportunities for professional development.
- Promote a collaborative and positive work culture.
Grant and Donor Fund Management
- Oversee and report on grants and donor contributions.
- Ensure accurate tracking and reporting of restricted funds.
- Assist with grant applications and fulfill financial reporting obligations.
Collaboration and Support
- Work closely with other departments to provide financial insights and support.
- Assist fundraising initiatives with relevant financial information and analysis.
- Engage in organizational meetings and contribute to strategic planning efforts.
Education and Experience
A Bachelor’s Degree or equivalent experience in Accounting, Finance, or a related field is required. An MBA or CPA certification is preferred. A minimum of 5 years of accounting experience is necessary, with at least 2 years in a supervisory or managerial capacity.
Knowledge, Skills, and Abilities
- Experience in non-profit accounting is highly desirable.
- Strong understanding of GAAP and non-profit accounting standards.
- Proficiency in Microsoft Dynamics 365 (CERES) is preferred.
- Proficient in Microsoft Office Suite and Adobe Pro.
- Excellent analytical, problem-solving, and decision-making abilities.
- Strong attention to detail and organizational skills.
- Effective communication and interpersonal skills.
- Ability to work independently and collaboratively within a team.

Licenses and Certifications
Must possess reliable transportation and maintain a valid California driver's license, along with a satisfactory driving record and proof of personal vehicle insurance coverage.
Physical and Environmental Requirements
The physical demands of this position require the employee to successfully perform essential functions, including working in an office adjacent to a warehouse setting with occasional travel to various locations. The employee must be able to prioritize and manage multiple tasks requiring good memory, concentration, and analytical thinking.
