Job Overview

As we continue to grow, we are seeking a **Payroll Specialist** to play a crucial role in managing payroll for our expanding team of approximately 500 employees across various states.

Key Responsibilities
  • Oversee the **timely and precise** processing of multi-state payroll on a biweekly basis, ensuring compliance with evolving payroll regulations and adherence to internal protocols.
  • Maintain and update records related to **tax modifications**, garnishments, and payroll deductions.
  • Review and confirm timecards for hourly employees, including overtime and unapproved leave requests, prior to payroll processing.
  • Investigate and rectify any discrepancies identified during payroll processing.
  • Process various types of payments, including commissions, bonuses, and other compensation-related activities.
  • Generate reports from management systems to accurately calculate commissions and bonuses.
  • Collaborate with the HR department to address employee payroll inquiries and resolve issues.
  • Ensure the accuracy of data flow from the HR system to the payroll system.
  • Reconcile payroll before transmission and validate final reports for approval.
  • Analyze payroll data to explain variances between payroll cycles.
  • Assist in the implementation of organization-wide payroll initiatives.
  • Support the preparation of audit requests.
  • Ensure compliance with all applicable company, federal, state, and local regulations.
  • Conduct payroll audits to maintain accuracy and integrity.
  • Prepare biweekly payroll reports and ad-hoc analyses as required.
  • Assist with inquiries related to payroll taxes and regulations.
  • Communicate significant changes and updates regarding payroll status.
Qualifications
  • Minimum of **5 years** experience in a payroll-specific role.
  • Familiarity with payroll software and service providers, preferably **ADP Workforce Now**.
  • Experience in a multi-state and multi-site organization.
  • Ability to manage payroll for traveling employees across multiple locations.
  • Proficient in **Microsoft Office Suite**, with advanced skills in Excel (including Pivot tables and VLOOKUP).
  • Demonstrated strong work ethic and a proactive approach to tasks.
  • Ability to work collaboratively within a team as well as independently.
  • Adaptability to changing business needs.
  • Exceptional attention to detail and a commitment to accuracy.
  • Strong customer service, interpersonal, and organizational skills.
  • Excellent analytical, time management, and problem-solving abilities.
  • Capacity to work efficiently under pressure and meet deadlines.
  • Experience in a fast-paced, growing environment.
  • Ability to independently manage the entire payroll process.
