Audio Visual Project Coordinator

As an Audio Visual Project Manager at Applied Video Technology Inc, you will oversee assigned projects to ensure timely and budget-friendly completion. Collaborate with the Operations Manager and VP of Tech Services to provide direction and assign duties to technical staff. Regularly communicate project status to internal team members and clients, coordinating communication with the Operations Manager.
Key Responsibilities- Participate in internal kick-off meetings to determine priority tasks and coordinate with Sales, Engineering, and Operations.
- Attend sales-related client meetings as needed and review project Statements of Work.
- Conduct pre-installation walkthroughs to ensure customer responsibilities are met and communicate project schedules and status.
- Represent AVT at construction meetings and communicate project status and schedule.
- Conduct site surveys and gather information with the Engineering team to check site preparedness and room dimensions.
- Communicate resource and equipment needs to the VP of Tech Services and Operations Manager.
- Ensure AVT technical staff adheres to site safety requirements and work with the Operations Manager to obtain required permits.
- Work with the Operations Manager and Warehouse Manager to ensure all materials have arrived, been tested, and are staged prior to delivery.
- Utilize Zoho software to manage projects, prioritize tasks, and use the Gantt chart feature.
- Obtain quotes from subcontractors when needed and coordinate with the Operations Manager.
- Work with the programmer to generate control specs and obtain client approval when needed.
- Communicate with clients to gather IP addresses, logos, and other necessary information.
- Work with the lead installer to ensure project understanding before going onsite.
- Kick-off installation teams onsite for each assigned project.
- Be the primary point of contact for technical staff and submit regular progress reports internally and to clients.
- Generate and communicate punch lists to AVT team members and clients.
- Communicate with the Director of Systems Design and Engineering regarding questions or issues that may arise during installation.
- Schedule and complete final walkthroughs with clients to achieve project acceptance.
- Identify and manage the submission of change order requests to Sales and actively pursue approval.
- Meet weekly with the VP of Tech Services and Operations Manager to review and assign resources to projects.
- Work with the VP of Tech Services and Operations Manager to continually improve efficiencies in-house and in the field.
- Assist in the development and maintenance of the sub-contractors list.
- Ensure that any sub-contractors used on projects comply with AVT's requirements.
- Review bills from specialty vendors and sub-contractors to ensure they are within budget for the project.
