POSITION OBJECTIVE

The Medical Staff Services Supervisor acts as the primary coordinator, offering direction and assistance for Trinity Health's Medical Staff Services (MSS). This role encompasses support for medical personnel and administrative management, as well as the organized medical staff and committees concerning appointments, compliance, bylaws, and policy interpretation. The supervisor is responsible for ensuring the consistent application and integrity of medical staff programs, including credentialing, privileging, and peer review processes, through regular audits and data assessments. This position plays a crucial role in coordinating crossover providers across facilities to enhance alignment and efficiency. The supervisor will also assist local MSS Managers in overseeing daily operations within designated functional areas, ensuring alignment with established priorities and timely completion of tasks. Input into hiring decisions and colleague performance evaluations is also a key responsibility.

This role is vital to the MSS team, leading various tasks under the guidance of MSS leadership to efficiently manage credentialing, privileging, and peer review processes. The supervisor ensures adherence to credentialing policies and requirements, manages database analytics, facilitates state and accreditation surveys, and participates in process improvement initiatives related to medical staff operations.

KEY RESPONSIBILITIES
  • Accountable for developing, facilitating, monitoring, and continuously improving onboarding, credentialing, peer review, and other essential operations.
  • Supervises and organizes daily activities of the Medical Staff Services team, supporting MSS leadership in maintaining a comprehensive credentialing program to ensure ongoing accreditation.
  • Acts as a liaison between MSS leadership and stakeholders, fostering positive relationships with physicians and practitioners through effective communication and conflict resolution.
  • Contributes to the development of MSS policies and procedures, providing interpretation and education as needed.
  • Serves as a subject matter expert on accreditation and regulatory guidelines, ensuring compliance through thorough research and guideline maintenance.
  • Monitors and updates credentialing and privilege request forms, ensuring they reflect current standards.
  • Collaborates with medical staff to develop and revise privileging criteria, overseeing the Focused Professional Practice Evaluation (FPPE) process.
  • Ensures confidentiality and accuracy in the credentialing process through regular audits and data analysis, supporting all regulatory surveys.
  • Leads training and education initiatives for credentialing software to enhance operational efficiency.
  • Coordinates high-level medical staff committees and orientations, as well as Board of Trustees meetings.
  • Identifies and communicates strategies for workflow improvements.
  • Establishes and tracks key performance metrics to drive process enhancements and maintain operational integrity.
  • Maintains knowledge of Trinity Health's Integrity & Compliance Program and adheres to policies and procedures that reflect ethical and professional behavior.

EDUCATION, EXPERIENCE, AND CERTIFICATION REQUIREMENTS

Education: Associate's degree in healthcare administration, business administration, or a related field; Bachelor's degree preferred.

Experience: Minimum of 3 years in healthcare administration with knowledge of federal, state, and accreditation standards; experience in medical staff services, credentialing, and peer review preferred. Program management skills and familiarity with PDCA Cycles or Lean/Six Sigma are advantageous.

Skills and Abilities:
  • Proficient in MS Outlook, Word, Excel, and PowerPoint.
  • Strong interpersonal, verbal, and written communication skills for effective collaboration with hospital personnel and external organizations.
  • Able to constructively challenge established processes and lead educational programs for staff.
  • Exceptional organizational and analytical skills to identify improvement opportunities and resolve issues.
  • In-depth knowledge of Joint Commission, CMS, and Michigan regulations related to Medical Staff functions.
  • Ability to manage changing priorities and work independently with minimal supervision.
  • Expertise in credentialing software and familiarity with related systems preferred.
