Job Summary

The Office of Sponsored Research Services at Acord (Association For Cooperative Operations Research And Development) seeks a highly skilled SUBS Grant Analyst to join our team. As a key member of our research administration team, you will play a critical role in ensuring compliance and providing expert advice and training to faculty and administrators related to internal University/School and external agency procedures and policies related to research administration.

Key Responsibilities
  • Pre-Award and Post-Award Administration: Prepare, review, and negotiate outgoing subagreements, including but not limited to:
    • Maintain up-to-date knowledge of the regulatory and legal framework and vast compliance rules affecting sponsored research agreements.
    • Provide detail-oriented review of SUBSystem required items while providing expert guidance and enforcing compliance with university, school, and external agency policies related to outgoing subawards.
    • Analyze sponsored research awards received from external funding agencies for required flow down terms, and active assurances (animals, humans, conflict of interest, etc.) to prepare appropriate outgoing subaward agreements.
    • Manage workload using status transparency for prioritization. Ensure accurate and timely submission of all subawards to OSRS Signing Official for approval.
    • Administer and manage the SUBS template portfolio of attachments, institutional database, and internal process documents.
  • Financial Management: Exercise sound judgment regarding financial information to accurately create and approve supplier contracts (formerly purchase orders) and supplier contract amendments in the university financial system (Workday) for subrecipient funding encumbrances.
  • Training and Development: Provide expert advice and training to university research administrators and faculty on research administration processes and policies.
  • Reporting and Compliance: Manage FFATA reporting using SUBSystem FFATA reports and prepare weekly status report of SUBS teamwork load to facilitate prioritization and necessary follow-up of workload for Subagreements.
  • Special Projects: Assist Manager with special projects and perform other tasks as assigned.
Requirements
  • Education: Bachelor's degree plus one year experience in research administration or a related field (e.g., accounting, contracts), or an equivalent combination of education, training, and experience.
  • Experience: Experience with sponsored research administration in a large university environment.
  • Skills: Strong organizational skills and ability to set priorities. Capacity to develop and maintain good professional relations with personnel at the university and collaborating institutions. Strong orientation toward customer service and diplomacy. Critical thinking and analysis skills. Negotiation skills. Hands-on proficiency with Microsoft Suite (e.g., Outlook, Word, Excel). Detail oriented. Effective oral and written communication skills. Ability to work independently and with a team. Judgment to know when to seek consultation with supervisor(s). Knowledge of university's organization, policies/procedures. Knowledge of the Federal Acquisition Regulations (FAR) and Uniform Guidance (UG). Knowledge of and ability to negotiate key contract terms and conditions.
