Key Responsibilities:

  • Maintain and update transportation routes for the Procurement Department utilizing specialized software tools.
  • Analyze route data and generate reports to identify trends and suggest enhancements.
  • Review information from vehicle tracking systems and communicate findings to the route manager.
  • Assist in training and supporting drivers on new technologies and routing protocols.
  • Handle a variety of moderate to complex clerical tasks requiring sound judgment and discretion.
  • Collaborate with drivers and dispatch personnel to ensure timely service delivery.
  • Support driver compliance with all Department of Transportation (DOT) and company safety regulations.
  • Respond to inquiries from customers and potential clients regarding services.
  • Perform additional related duties as assigned to ensure the efficient operation of the business.
  • Manage incoming calls, dispatch customer requests to drivers, and schedule service technicians.
  • Conduct data entry across various computer systems.
  • Weigh all trucks as a certified weigh master.
  • Engage with colleagues and clients in a professional and ethical manner.
  • Adhere to departmental and company procedures.
  • Maintain regular attendance and punctuality, which are essential for smooth operations.
  • Execute other duties as assigned to support the effective functioning of the business, adapting to evolving needs.

Qualifications:

  • High school diploma or equivalent required.
  • Minimum of 1 year experience in an office environment.
  • Ability to follow both oral and written instructions to complete tasks.
  • Capability to manage multiple tasks and collaborate effectively with others.
  • Strong customer service and communication skills are essential.
  • Must be a flexible team player within a small office setting.
  • Typing speed of 45+ words per minute and proficiency in 10-key data entry.
  • Proficient in Microsoft Word, Excel, and Outlook (or similar email applications).
  • Travel requirements are less than 5%.

Physical Demands:

Constantly (over 2/3 of the time):

  • Utilizes computer and other office equipment such as calculators, copiers, and printers.
  • Remains in a stationary position for 50% or more of the time.
  • Completes tasks under time constraints with frequent interruptions.
  • Reviews documents, organizes data, and verifies information accuracy.

Frequently (1/3 to 2/3 of the time):

  • Moves around the office to access files and office machinery.
  • Communicates with coworkers and clients, exchanging accurate information in person, over the phone, and via electronic devices.
