This entry-level position is crucial for processing all requests for the release of information (ROI), particularly pertaining to medical records. You will ensure that these requests are handled promptly and accurately, delivering the highest quality of service to our clients. It is essential to uphold and protect patient privacy rights by ensuring that only authorized personnel access medical information, and that all releases comply with relevant requests, authorizations, company policies, and HIPAA regulations.
Key Responsibilities
What You Will Be Responsible For...
- Process requests for patient health information in alignment with company and facility protocols.
- Uphold confidentiality and security for all sensitive information.
- Maintain proficiency in company and facility software systems.
- Adhere to the Code of Conduct and policies of the company and client facilities.
- Communicate with management regarding workflow challenges and variable volumes.
- Assist with additional responsibilities as required.
- Consistently apply medical privacy regulations to prevent unauthorized disclosures.
- Manage patient health records effectively.
- Ensure compliance with HIPAA standards in safeguarding patient records.
- Prepare new patient charts by gathering necessary documents from both paper and electronic sources.
- Ensure medical records are organized, accurate, and complete.
- Create digital copies of documents for electronic medical records.
- Respond to requests for patient records from both internal and external sources.
- Handle inbound and outbound communication.
- Assist with patient inquiries in person as needed.
- Support administrative tasks such as faxing, mail handling, and data entry.

Working Conditions & Physical Requirements
Work is typically conducted in an office environment with minimal exposure to hazardous conditions. The role requires the ability to stand and sit frequently throughout an eight-hour shift, reach for items overhead, and utilize telephone or headset equipment. The incumbent must be able to lift up to 20 lbs, work at a computer for 6-8 hours daily, and manage interruptions effectively. To ensure the safety of our patients and staff, many clients mandate post-offer health screenings and proof of vaccinations, including flu, Tdap, and COVID-19. Requests for exemptions will be evaluated on a case-by-case basis by Ciox Health Human Resources, considering medical, religious, or other qualifying conditions.
In most cases, being fully vaccinated against COVID-19 is a requirement for this position, with limited exceptions.
