Job Overview

POSITION SUMMARY:

Under the guidance of the Director of Human Resources, the Human Resources Benefits Coordinator is responsible for supporting the operational and administrative aspects of the benefits management process within the Human Resources Department. This role requires the ability to collaborate effectively within a team while also demonstrating independence, prioritizing tasks, managing multiple responsibilities, and maintaining a high level of accuracy and efficiency to meet deadlines.

PRIMARY RESPONSIBILITIES:

  • Assist the Human Resources Generalist in the management of various employee benefits programs, including health insurance, flexible spending accounts, dental and vision plans, life insurance, and optional benefits.
  • Handle the processing of benefit-related invoices, ensuring accurate reconciliation of charges, preparing summaries for financial allocation, and tracking payments to guarantee timely bill settlements.
  • Maintain organized employee benefits filing systems and ensure that changes to benefits are entered promptly and accurately into the HRIS.
  • Input benefit-related data into the HRIS database following established protocols.
  • Act as a point of contact for employees regarding benefits inquiries, eligibility questions, and related decision-making. Conduct research and provide responses to employee queries.
  • Distribute new hire benefit enrollment communications and follow up with employees to confirm complete enrollment within the eligibility timeframe.
  • Oversee continuous enrollments for new hires and employees experiencing qualifying events that make them eligible for benefits.
  • Assist in the setup and implementation of connections with carriers for new plans as necessary.
  • Serve as a liaison between clients and insurance providers to independently resolve service-related issues, including billing, claims, eligibility, and customer service inquiries.
  • Collaborate with the Human Resources Generalist to fulfill annual ACA reporting requirements for all entities.
  • Support the setup and maintenance of enrollment information, rates, and plans within the ADP system, as well as facilitate the annual open enrollment process.
  • Work alongside the HR team to ensure timely processing of enrollments and deductions for employees transitioning into new plans.
  • Assist with special projects or new implementations, particularly during the annual open enrollment period.
  • Conduct new employee orientations, presentations, and briefings on employee benefits plans and policies as needed.
  • Prepare and maintain standard monthly and ad hoc reports.
