Job Overview:

The Clinical Service Representative I plays a crucial role in ensuring that patients are accurately registered and scheduled for their appointments. This position involves validating patient accounts prior to visits and initiating financial agreements for new patients. The representative is responsible for reviewing financial obligations to confirm they are up to date and reaching out to patients regarding any overdue accounts.

Additionally, this role includes accepting and processing patient payments, as well as establishing automatic withdrawals through Virtual Merchant Software. The representative will present various fee structures and payment options to patients, while collaborating with the University of Florida College of Dentistry's business office, Medicaid office, and Children's Medical Service liaison regarding patient accounts. The representative will also recommend and implement operational policies and procedures.

Reception and Communication:

As the first point of contact, the representative will provide precise and comprehensive responses to inquiries related to treatment eligibility and procedures. This role is also responsible for maintaining the records management of dental charts, utilizing Dolphin and AxiUm software for tracking and updating patient information. It is essential to keep all correspondence and forms accurate and current by leveraging system features in Dolphin. The representative must ensure that patient policies and procedures adhere to legal standards and confidentiality requirements, while maintaining an organized and clean work environment. A professional demeanor is expected, reflecting the department's image to the public.

Medicaid and CMS Coordination:

This position requires coordination of departmental Medicaid activities, including maintaining patient treatment information in an electronic database. The representative will send necessary letters and records to request funding for patients, necessitating a thorough understanding of Medicaid policies. Keeping track of approvals or disapprovals and notifying relevant staff of patient Medicaid statuses is essential. The representative will also serve as a liaison with Medicaid consultants and coordinate all departmental CMS activities, ensuring communication with CMS college staff.

Collaboration:

Interacting with faculty, residents, and students is vital to ensure that patient records are accurately maintained and readily available to support treatment programs.

Expected Salary:

$16.50

Minimum Qualifications:

High school diploma or equivalent.
