Objective:
The Client Service Coordinator is tasked with a diverse range of responsibilities aimed at efficiently organizing service schedules for clients.

This role is pivotal in ensuring that clients and Care Professionals are paired effectively, thereby fostering exceptional relationships and delivering top-notch service.

The Coordinator will leverage the Well Sky (ClearCare) system to ensure that all Care Professionals are appropriately matched with clients based on their qualifications and needs.


Primary Responsibilities:
Embody the values of Home Instead Senior Care. Respond to incoming inquiries in a courteous, professional, and knowledgeable manner.

Develop and maintain schedules for clients and Care Professionals, focusing on creating optimal matches and nurturing extraordinary relationships.

Track, mediate, and document all interactions between clients and Care Professionals using the Well Sky software. Proactively follow up on any issues to ensure resolution.

Maintain precise records for both clients and Care Professionals within the software system.
Enhance client loyalty by employing a consultative approach to better address current client needs.
Communicate and resolve issues between Care Professionals and clients to ensure satisfaction.
Design, test, and implement a responsive contingency plan to guarantee uninterrupted service hours.
Identify and seize opportunities to expand service hours to improve and/or elevate the quality of care.

Handle new client inquiries over the phone with expertise and direct them to the appropriate leadership team member for further assistance.

Foster open and effective communication with the franchise owner, colleagues, Care Professionals, clients, and their families.

Adhere to all company policies, procedures, and ethical standards, ensuring these are communicated and upheld within the team.

Actively participate as a member of the emergency on-call team (one weeknight and one weekend per month). Collaborate weekly with the Recruitment Coordinator to ensure a steady pipeline of new Care Professionals aligns with client scheduling needs.


Secondary Responsibilities:
Engage in Care Professional meetings as required. Conduct service inquiries and care consultations following the consultative sales approach.

Perform any additional functions and responsibilities deemed necessary. Maintain regular attendance at the office to fulfill job responsibilities.
Education/Experience Requirements:
High school diploma or equivalent. One year of relevant business experience or a combination of education and work experience may be considered. A valid driver's license is required.

Supervisory Responsibilities:

None.

Knowledge, Skills, and Abilities:

Must understand and uphold the policies and procedures established by Home Instead Senior Care.

Demonstrate excellent oral and written communication skills, with the ability to listen effectively. Must be capable of working independently while maintaining confidentiality and meeting deadlines.

Exhibit strong interpersonal skills, sound judgment, and effective decision-making abilities. Display discretion, integrity, and fairness consistent with company standards and practices.

Ability to organize and prioritize tasks effectively on a daily, quarterly, monthly, and yearly basis. Establish and maintain positive working relationships with the franchise owner, office colleagues, clients, and Care Professionals.

Ability to sit at a desk and listen attentively for extended periods on the phone. Present a professional appearance and demeanor.

Proficient in operating office equipment and possess strong computer skills, particularly in Word and Excel. Availability to work evenings and weekends as needed.

Demonstrate knowledge of the senior care industry and perform duties in a professional office environment.
