Position Overview:
The Project Management Associate (PMA) plays a crucial role in assisting the Project Management team to fulfill contractual obligations and uphold Amplity standards for designated client programs. This individual effectively navigates competing priorities and diverse client requirements through strategic prioritization and timely escalation of issues when necessary. The PMA excels in gathering information, developing and maintaining essential project documentation, and supporting Project Managers in executing various initiatives and tasks. Additionally, the PMA is responsible for key project management data entry functions within Workday. A proficient PMA can adeptly manage multiple responsibilities while thriving in a dynamic, matrixed environment, ensuring that both client expectations and Amplity standards are consistently met. The PMA serves as a vital support member of the Project Management Team, contributing significantly to the overall efficiency of the group.
Key Responsibilities:
- Act as a liaison among Project Managers, vendors, and internal departments to facilitate the delivery of contractual and Amplity standards.
- Coordinate various project activities, including but not limited to: managing data requirements assigned to the PM function in Workday, enhancing tools, templates, and processes for projects overseen by the PM team, and assisting Project Managers in the effective exchange of information across workstreams.
- Document processes and manage communication channels such as Box, Teams, and SharePoint.
- Distribute communications to internal teams, field personnel, and clients.
- Support Project Managers in troubleshooting and escalating issues that impact contract delivery.
- Assist with additional project-related tasks as required by the head of the PM department.
Key Relationships:
- Report to the Amplity VP within the Program and Project Management organizational structure.
- Collaborate closely with Amplity Project Managers and other internal teams, including business line leadership, Incentive Compensation, Technology, Finance, Contracting, Compliance, and other functional teams.
- Engage with clients and vendors directly to support client projects as needed.
Qualifications:
Required:
- Bachelor's Degree from an accredited institution or equivalent professional experience.
- Minimum of 2 years' experience in a customer service role, supporting external clients.
- Demonstrated ability to deliver exceptional customer support and service.
- Strong verbal, written, and interpersonal communication skills.
- High attention to detail and accuracy.
- Proven project management capabilities.
- Effective decision-making skills.
- Proficient in MS Office Suite.
- Ability to manage multiple tasks concurrently and prioritize effectively.
- Strong executive decision-making skills.
Preferred:
- Experience in the pharmaceutical industry or Contract Sales Organization (CSO).
- Familiarity with Workday, MS Teams, Zoom, and Webex.
