Key Responsibilities:

  • Ensure all expenditures are reasonable, permissible, and appropriately allocated, adhering to both internal university policies and specific agency regulations throughout the entire lifecycle of costs.
  • Stay informed on policies and procedures relevant to federal and non-federal regulations applicable to sponsored proposals to guarantee compliance. This includes understanding the varying terms and conditions of agreements/awards, agency-specific travel regulations, and internal/external rules regarding asset purchases and reporting.
  • Reconcile monthly financial statements for both sponsored and non-sponsored accounts in accordance with university guidelines.
  • Verify that all applicable direct and indirect cost rates are accurately applied.
  • Review and ensure timely payment of subaward invoices.
  • Manage accurate and prompt internal and external billing processes, ensuring receipt of payments.
  • Assist in the preparation and development of budget justifications, ensuring alignment with budgeted amounts.
  • Collaborate with project Principal Investigators (PIs), Co-Investigators, and administrative personnel to facilitate effective budget allocation, project initiation, and ongoing financial activity reporting.
  • Generate reports as requested by management, analyzing data for accuracy and compliance.
  • Support compliance issues related to sponsored research, including cost transfers and effort reporting.
  • Work alongside Finance Staff and PIs to assess costs and review financial balances.
  • Monitor and communicate any over-expenditures to faculty and supervisors.
  • Manipulate data and create financial reports and presentations for PIs.
  • Conduct annual evaluations of fixed service center fees.
  • Process various SAP transactions related to budgets, personnel, and sponsored funding.
  • Reconcile procurement cards for faculty and staff, ensuring proper documentation and expense allocation.
  • Handle ISR and eforms for faculty and group members, along with other necessary HR functions.
  • Collaborate with PIs on reports, extensions, and other administrative matters specific to sponsored projects.
  • Facilitate communication between PIs, JHURA, and the sponsored projects team to keep all parties informed of ongoing issues.
  • Organize workflows around time-sensitive grant requirements, often remotely.
  • Educate PIs on processes and administrative requirements of sponsors.
  • Assist students in preparing and submitting expense logs and reimbursement requests for field research.
  • Analyze expenditure logs to ensure compliance with approved budgets and guidelines.
  • Support departmental front office needs as required.
  • Perform any additional duties as assigned.

Essential Skills and Qualifications:

  • Strong communication, analytical, organizational, and computer skills.
  • Ability to work independently and exercise sound judgment while recognizing when to seek additional guidance.
  • Proficiency in office technology, including financial accounting systems and Microsoft Office 365 Suite.
  • Ability to operate standard office equipment.
  • Capacity to adapt to changing priorities in a dynamic environment.
  • General understanding of federal guidelines and procedures related to grants and contracts.
  • Willingness to learn new systems and methods to enhance departmental service.
Minimum Qualifications:
  • Bachelor's Degree in Finance, Accounting, Business, or a related field.
  • One year of progressively responsible experience in a related area.
  • Additional education may substitute for required experience, and vice versa, as permitted by the equivalency formula.
Preferred Qualifications:
  • Experience with federal and private grant processes.
  • Familiarity with Johns Hopkins' financial systems and related software.
