Job Summary

PCS International is seeking a highly skilled Administrative Assistant to join our team in Inverness, IL. This part-time position involves managing inventory, handling vendor communications, and performing data entry tasks to drive company success.

The ideal candidate will have at least one year of experience in office administration, preferably with accounting knowledge. Familiarity with inventory management and QuickBooks is also essential. Additionally, the successful applicant should possess excellent written and verbal communication skills, strong attention to detail, and the ability to prioritize and multitask.

Responsibilities:
  • Manage vendor communications, including price disputes, credit requests, returns, and cancellations.
  • Receive and process vendor bills, aiming for electronic delivery where possible.
  • Process payments, scan checks, and enter data into QuickBooks within two days.
  • Perform recurring services reconciliations, auditing, and invoicing updates.
  • Create shipping labels, box items, and ship them to clients, employees, and vendors.
  • Process routine approved orders with vendors.
  • Track order deliveries across multiple portals and update tickets through procurement stages.
  • Manage internal and external inventory, conducting audits and maintaining lists at client locations.
  • Post items on eBay for unsold inventory.
  • Handle Microsoft licensing backup and annual renewal tracking and communications.
  • Record all activities via ticket system.
  • Answer inbound telephone calls and emails.
  • Provide 'smart hands' support to IT staff for minor updates.
  • Assist with client cancellations and offboarding.

Requirements:
  • Minimum one year of experience in office administration (accounting helpful).
  • Familiarity with inventory management.
  • Familiarity with QuickBooks.
  • Familiarity with hardware and software preferred.
  • Above-average knowledge of MS Word and Excel.
  • Accurate data entry skills.
  • Customer service experience.
  • Ability to prioritize and multitask.
  • Excellent written and verbal communication skills.
  • Strong attention to detail.
  • Valid IL Driver License.

Physical Requirements:
  • Ability to lift up to 5 pounds regularly and up to 20 pounds occasionally.
  • Ability to bend, crouch, kneel occasionally.
  • Ability to travel up and down stairs.
  • Ability to walk short distances and drive a vehicle to deliver and pick up materials.
