We are seeking a highly organized and detail-oriented Administrative Assistant to provide general clerical support to our Virginia State office. The successful candidate will be responsible for a variety of tasks, including copying, faxing, mailings, and other job-related duties as assigned.

Key Responsibilities
  • Assure all visitors have been properly identified and announced and appropriate procedures have been followed.
  • Receive, place, and route phone calls in a polite and professional manner.
  • Coordinate, process, and/or track incoming and outgoing mail/packages.
  • Enter applicants in the HRIS database and send appropriate documentation.
  • Schedule applicant interviews.
  • Coordinate and/or order office supplies for programs and the state office based on PD request forms.
  • Perform other job-related duties as assigned.
Secondary Responsibilities
  • Order meeting food per requests from VA State personnel or per state meeting calendar.
  • Assist with accounts payable.
  • Assist with various activities related to the recruitment process and/or employee retention, including but not limited to:
    • Filing of employee and applicant documentation.
    • Contacting applicants to secure missing information, etc.
    • Employee Recognition Program.
  • Generate letters for Life Options quarterly reports.
  • Assist the Human Resource Generalist with updates to the central mailing database.
  • Perform other job-related duties as assigned.
Requirements
  • High school diploma or GED required.
  • One (1) year previous administrative assistant/receptionist duties, or formal business or secretarial school certification may substitute for one year's experience.
Work Environment

The work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices or meeting rooms, e.g., use of safe workplace practices with office equipment, lifting, and/or avoidance of trips and falls.
