Job Overview:

The Administrative Support Specialist is responsible for performing essential documentation tasks. This role operates under general oversight, allowing for a moderate degree of initiative and independent decision-making. The position involves compiling and organizing data, as well as utilizing computer applications such as Microsoft Excel and other relevant software. Work is conducted in accordance with established protocols, with new tasks and procedural changes clearly communicated.

Most operational procedures are defined by a supervisor who regularly reviews ongoing work and assesses completed tasks for adherence to established guidelines.

This role entails moderately complex data entry responsibilities, including data input and file maintenance. The position may also involve supporting the Administrative Assistant I role.

Key Responsibilities:

Regular attendance is expected, with the possibility of adhering to a specific shift schedule or, at times, a rotating schedule, extended hours, and/or overtime in line with agency policies. Additional duties may be assigned as necessary.

The role includes maintaining an organized system for records, files, and logs pertinent to the section. Responsibilities include compiling, organizing, and analyzing data, as well as performing calculations. The position also involves data entry, retrieval, and conducting data searches.

The employee is expected to meet critical deadlines to ensure efficient operations.

Participation in the end-of-month inventory process is required.
The role includes maintaining certification for operating state vehicles.
Responsibilities extend to managing departmental purchase orders and requisitions, ensuring timely processing of invoices.

The employee is accountable for state-issued credit card transactions associated with their assigned card, adhering to all procurement policies and procedures.

Additional responsibilities may include active participation in supporting the agency's disaster response and recovery efforts or Continuity of Operations (COOP) activation, which may necessitate alternate shift patterns or locations.


Required Knowledge, Skills, and Abilities:

Proficiency in office practices and administrative functions, alongside strong computer skills, particularly in Microsoft Excel, Word, and Outlook. The ability to engage with both internal and external stakeholders in a professional manner is essential. Competence in maintaining accurate records, files, and reports is required. Proficiency in standard office equipment and software is expected. Strong oral and written communication skills are necessary. The ability to maintain confidentiality regarding work-related information and to manage multiple tasks while meeting deadlines is crucial.
