Job Title: Receptionist

Family Health Care Centers of Greater Los Angeles is seeking a skilled and detail-oriented Receptionist to join our team. As a Receptionist, you will be the first point of contact for patients and visitors, providing exceptional customer service and ensuring a smooth and efficient experience.

Key Responsibilities:
  • Facilitate patient registration and processing to reduce wait times
  • Ensure all patients undergo client eligibility screening and maintain accurate documentation
  • Explain clinic procedures, fee processes, and general information to clients as needed
  • Maintain a clean and organized reception area
  • Review and correct patient information for all necessary documents and computer systems
  • Reference the provider calendar daily to stay aware of clinic expectations and scheduling availability
  • Inform or refer questions, concerns, and patient grievances to the immediate supervisor
  • Work with M.A. staff to promote a smooth patient flow
  • Answer phone lines and route calls to appropriate departments and individuals
  • Ensure all incoming appointments are scheduled in a prompt and timely manner
  • Schedule appointments to encourage good patient flow
  • Conduct self in a clear and friendly manner when answering the phone
  • Inform patients regarding eligibility requirements and first-visit instructions as necessary
  • Accurately answer patient questions and transfer calls to the appropriate person when unsure
  • Take accurate messages when unable to immediately schedule an appointment and return the call as soon as available
  • Process requests for charts in a timely manner, including walk-in patients
  • Conduct in-house trainings as needed to ensure staff are well-informed of the agency's chart tracking system
  • Pull charts for audits when required
  • Conduct in-house audits to ensure charts are accounted for as necessary
  • Obtain provider charts for audit review purposes
  • Provide patient charts for peer review meetings when necessary
  • Process Release of Records (ROR) requests in a timely manner and release any request for records
  • Have blank charts readily available for the reception department's use
  • Pull charts for the following day's appointments
  • Ensure all patient charts are appropriately labeled
  • File returned charts appropriately
  • Identify, initiate, and implement measures to deliver high-quality care to patients and improve services
  • Respond efficiently and timely to patient and provider staff needs and inquiries
  • Ensure excellent customer service to all FHCCGLA patients
  • Work with operations managers to manage patient scheduling and flow to address bottlenecks and scheduling issues
  • Handle patient grievances according to FHCCGLA's Policy & Procedure
  • Filing of laboratory reports
  • Assist in developing, updating, and reviewing FHCCGLA Policies & Procedures (P&Ps) as needed
  • Ensure HIPAA compliance by maintaining strict confidentiality of all patient data and E.H.R./Practice Management System (PMS) according to regulations and FHCCGLA's P&Ps
  • Attend mandatory quarterly staff meetings/trainings, corporate risk management meetings, clinical & operations meetings, and meetings with FHCCGLA's Executive Leadership as scheduled
  • Remain informed of current legal and regulatory changes related to scope of practice, specific programs/payors, insurances accepted, and services being offered at FHCCGLA
  • All other duties as assigned
Qualifications:
  • Minimum high school diploma and/or G.E.D. equivalency
  • FQHC experience, highly preferred
  • Excellent analytical skills
  • Motivation to take initiative to ensure all tasks performed are completed thoroughly and accurately
  • Excellent writing and verbal communication skills
  • Knowledge of administrative principles and procedures
  • Computer knowledge preferred (e.g., NextGen (E.H.R. & PMS), Microsoft Word and Excel)
  • Bilingual English/Spanish and familiarity with the Hispanic culture
  • Access to automobile with valid California driver's license and state-mandated automobile insurance
  • Work schedule may include evenings, overtime, and weekends as needed
  • Ability to prioritize workload and work under pressure of deadlines
  • Ability to meet tight time-sensitive deadlines
  • Motivated and committed to the provision of high-quality healthcare for indigent and underserved communities
  • Willingness to adapt to changes with regards to the agency's growth and expansion
  • Ability to speak Spanish, preferred
