Key Responsibilities:

  • Manage the clinic's opening and closing procedures.
  • Lead initiatives to organize and maintain the clinic's environment.
  • Promptly sort and distribute incoming mail, voicemails, and faxes to the appropriate departments.
  • Ensure accuracy in electronic medical records by uploading documents and maintaining physical records.
  • Supervise patient check-in and check-out processes to guarantee an exceptional experience for clients.
  • Complete necessary forms for patients and follow up on appointments via email.
  • Process payments, reconcile receipts with the finance department, assist with collections, and address patient inquiries regarding outstanding balances.
  • Inspect furniture and equipment for functionality and potential repairs or replacements.
  • Coordinate with facility vendors to support daily operations.
  • Verify the accuracy of clinic therapist schedules.
  • Prepare and manage patient documentation within Cortica systems as required.
  • Execute various clerical tasks that require independent judgment and initiative.
  • Collaborate closely with the Operations Manager and Clinical Directors to resolve scheduling conflicts and EMR issues.
  • Understand and follow established communication protocols.
  • Assist with special projects and administrative tasks as assigned.
  • Adhere to HIPAA policies while handling client information.
  • Participate in cross-training for coverage purposes.
Qualifications:
  • Associate's degree or equivalent work experience.
  • Minimum of 1 year of relevant experience in an office environment, preferably within healthcare.
  • Experience in a fast-paced setting.
  • Strong reliability and organizational skills.
  • Excellent communication abilities.
  • Proficient in using electronic medical record systems and Microsoft Office applications.
  • Physical requirements include occasional standing, walking, sitting, climbing, balancing, kneeling, crouching, or crawling; reasonable accommodations may be made for individuals with disabilities.
  • Ability to lift and/or move up to 40 pounds occasionally.
  • Familiarity with HIPAA regulations is preferred.
