Job Summary

We are seeking a highly organized and detail-oriented Equipment Coordinator to join our team at Flatiron Construction. As an Equipment Coordinator, you will play a critical role in the coordination of equipment and licensed vehicle inventory, maintenance, and repair work.

Key Responsibilities
  • Equipment Documentation and Records: Coordinate and maintain equipment documentation and records for assigned projects or divisions, including serial numbers, VIN, models, title, insurance, rental, and usage rates.
  • Usage Reports and Invoices: Coordinate and code usage reports and invoices to ensure on-time payment with equipment rentals and project costs.
  • Accounting Support: Support the accounting team with invoice reconciliation for month-end and annual.
  • Equipment Licensing and Maintenance: Coordinate and track all equipment and vehicle licensing, inspections, maintenance, and repairs to assigned projects or divisions. Establish and maintain equipment records and equipment database for all regions within JD Edwards.
  • Fuel Card Program: Initiate and monitor fuel card program for company vehicles and employee allowance program. Submit reporting to HR and payroll within prescribed timelines to ensure accurate employee fuel taxation in alignment with company policy and agency regulations.
  • Toll Roads Account: Manage Toll Roads account and code report for approved users.
  • Mechanic's Timesheets: Submit weekly Mechanic's timesheets to payroll.
  • Company Knowledge: Maintain knowledge of Company's values and strategic objectives.
  • Additional Assignments: Perform additional assignments per management's direction.
Requirements
  • Education: Associate's Degree in Construction Management, Diesel/Automotive Technology, Heavy Equipment Technology, or Mechanical Engineering Technology preferred.
  • Experience: 2+ years of experience with construction equipment planning, scheduling, basic budgeting, and basic accounting practices required.
  • Software Skills: Experience with Oracle JD Edwards ERP Systems, DAS, and Bottomline TAP preferred. Proficiency in Microsoft Office Suite (PowerPoint, Excel, etc.) preferred.
