Job Summary

As a Generator Service Administrator at ACF, you will be responsible for managing the administrative functions of the generator service department. This role requires a high level of organization, attention to detail, and excellent communication skills.

Key Responsibilities
  • Request, receive, and apply purchase orders (PO) in a timely and accurate manner.
  • Process and manage work orders, including data entry and tracking.
  • Handle invoice processing and ensure timely payment.
  • Manage the warranty aging report and reconcile warranties with Generac.
  • Print, file, and log all completed warranty claims on a daily basis.
  • Input and close warranty claims on the web portal on a daily basis.
  • Batch tech hours and mileage into the business information system.
  • Reconcile the Service Productivity Report.
  • Send credit information and payment terms to customers and track.
  • Coordinate with the Service Sales Consultant to enter preventative maintenance agreements into FieldServio.
  • Perform electronic data maintenance and management.
  • Typing and logging of all service quotations as needed.
Additional Responsibilities
  • Clerical duties, including fielding generator service calls, filing, records management, and correspondence.
  • May be required to respond to service calls after hours in the absence of the Service Manager.
  • Additional duties as assigned by management.
Requirements
  • Working knowledge of basic accounting principles relating to invoices.
  • Working knowledge of Microsoft Office applications, including Excel, Word, Outlook, and Internet Explorer, as well as the ability to learn the Company's FieldServio business information system.
  • Skilled in interpersonal communication, organization, accuracy, and professional verbal and written communication, and detail-oriented.
  • Must be able to maintain and protect the confidentiality of all Company proprietary information and trade secrets.
  • Ability to work independently on assigned tasks as well as accept direction from management.
  • Ability to apply teamwork principles when working with Company personnel.
  • Work environment requires exposure to computer screens, typing/mouse usage, climbing, and extended periods of sedentary work.
  • Ability to lift materials up to 10 pounds.
Minimum Job Qualifications
  • Associate's degree or equivalent technical school.
  • 2-3 years of accounting work experience.
  • Any equivalent combination of education and experience.
