At Madison Approach, we are seeking a highly organized and detail-oriented Multifaceted Logistics Coordinator to join our Distributor Division. This full-time, on-site position offers a unique blend of customer-facing responsibilities and behind-the-scenes logistics management.

About the Role

This role is ideal for someone who thrives in a multifaceted environment and can effectively manage multiple tasks with precision. As a key member of our team, you will be responsible for coordinating transportation, processing orders, and maintaining accurate inventory records.

Key Responsibilities
  • Sales Support and Processing:
    • Provide exceptional customer support by furnishing technical drawings and confirming product availability, lead times, and order status.
    • Process orders with precision, including preparing detailed quotes, entering and managing production orders, reviewing vendor sales acknowledgements, and logging sales order numbers and ship dates into SAP.
    • Distribute freight costs for invoicing and submit state certificates as required.
  • Logistics Management:
    • Coordinate transportation to ensure timely and efficient movement of shipments.
    • Procure common carriers, obtain competitive rate quotes, and secure carriers for outbound and inbound shipments of assembled units and manufactured materials.
    • Prepare comprehensive shipping documents, including outgoing drawing packets, and collaborate closely with the warehouse/shipping manager.
    • Track and resolve any shipping discrepancies and approve freight bills with attention to detail.
  • Inventory Control:
    • Maintain accurate inventory records by processing purchase order receiving and goods issue/receipt, entering new part and customer numbers into the system, conducting monthly inventory rectification, and generating inventory replenishment purchase orders.
    • Assemble and disassemble complete units using inventory components and spare parts, receive all materials into corresponding warehouses via GRPO module, and apply standalone freight bills to GRPOs to ensure accurate item costs.
    • Prepare and update all documents for bi-annual inventory counts and track complete units by maintaining and distributing monthly spreadsheets detailing outbound deliveries, sales totals, units in stock, and pending orders.
  • Rental Fleet Management:
    • Maintain and distribute spreadsheets tracking monthly outbound/inbound movement and current inventory of rental units, assign serial numbers, and transfer units between used/rental part numbers.
    • Process monthly billing in SAP and inspect returned rental units for damage or missing parts, document findings photographically, and bill accordingly.
  • Consignment Oversight:
    • Track usage for consignment yards, manage material replenishments, and conduct bi-annual physical count rectifications.
    • Bill monthly usage by contract as reported and transfer delivered material from warehouse to consignment warehouses in SAP.
    Requirements and Qualifications
    • Bachelor's degree in Business Administration, Supply Chain Management, or related field preferred.
    • Minimum of 3+ years of experience in logistics, sales support, or a related role.
    • Exceptional attention to detail and strong organizational skills.
    • Proficiency in Microsoft Office Suite, especially Excel.
    • Experience with SAP B1 is a significant plus.
    • Knowledge of the construction or contracting industry is advantageous.
    • Excellent communication and interpersonal skills.
    • Ability to multitask and prioritize in a fast-paced environment.
    • Strong problem-solving skills and proactive approach to challenges.
