Financial Application Coordinator

We are seeking a qualified individual with a background in processing diverse financial applications, possessing strong mathematical and analytical capabilities. This role involves collaborating with clients to collect and document essential information for insurance applications and financial records.

This full-time role offers a comprehensive employee benefits package along with profit-sharing opportunities.

Key Responsibilities:

  • Engage with clients to prepare necessary documentation as instructed by the financial agent.
  • Thoroughly review all documentation for completeness, ensuring all required signatures, initials, and dates are present.
  • Submit applications to financial carriers along with client checks, rollover documents, or transfer paperwork, including the latest statements.
  • Proactively follow up on all pending transfers by checking carrier websites or directly contacting the relevant companies.
  • Maintain regular communication with clients regarding the status of their accounts being established.
  • Document agent's notes from each client meeting in the database and assign follow-up tasks to appropriate team members.
  • Provide support to the Client Service Representative as needed.
  • Monitor and follow up on daily tasks through database management or other established systems.
  • Check the clearing firm's site daily for transfer activities if the advisor holds a securities license.
  • Keep an updated record of carrier websites, user IDs, and passwords.
  • Conduct annual Required Minimum Distribution Procedures for clients aged 70½ and older.
  • Process trades on brokerage accounts as directed by the securities-licensed advisor.
  • Maintain an up-to-date check blotter on a daily basis.
  • Ensure the trade blotter is current daily if the advisor is securities licensed.
  • Create new client files following the established Filing System.
  • Establish a recurring courtesy call schedule for new clients after categorization by the advisor.
  • Develop and maintain a new business log for the advisor's pending and completed transactions, to be submitted weekly to management.

Qualifications:

  • A minimum of 3 years of experience in finance, bookkeeping, or accounting.
  • Proficient in MS Office, particularly Excel spreadsheets, and QuickBooks.
  • Exceptional organizational skills.
  • Ability to exercise sound judgment, work effectively under pressure, and prioritize tasks.
  • A high level of integrity with the ability to maintain confidentiality and discretion.
  • Capability to conduct research to resolve commission and other related issues.
  • Familiarity with financial products such as life insurance and annuities is a significant advantage.
  • A minimum of a two-year college degree (four-year preferred) in business, finance, or a related field.
