Job Summary:

The Patient Services Representative is the first point of contact for Spectrum Health Services, Inc. This role provides services to patients arriving for medical and dental services, handling patient scheduling, check-in, and registration, and processing.

The ideal candidate will have excellent interpersonal skills and critical thinking abilities to succeed in this position.

This role is part of the Patient Centered Medical Home (PCMH) care team, ensuring accurate data capture and timely communication with patients and care team members.

Essential Functions:

  • Informs patients prior to visit about fee assessment process or co-pays
  • Performs patient pre-registration function and runs eligibility reports to determine insurance coverage
  • Verifies third-party insurance coverage via online verification or telephone
  • Receives and acknowledges all health center patients and visitors
  • Maintains and verifies patient schedule
  • Reviews sections of patient information forms
  • Collects all co-payments or initial fees from patients prior to seeing the provider
  • Obtains patient's signature on healthcare forms
  • Scans patient's identification and insurance cards into the EMR system
  • Serves a minimum of 35 to 40 patients daily
  • Schedules appointments in the EMR system
  • Backfills the Medical Assistant to record messages for providers
  • Handles and processes a high volume of phone calls daily
  • Places calls to patients to remind them of appointments
  • Contact patients who have missed appointments, ascertain why, and reschedule if necessary
  • Facilitates scheduling referral appointments for patients if needed
  • Inputs data into computer system on an as-needed basis
  • Provides printed patient instructions, community resources, clinical visit summary, and any lab, diagnostic study, or referral orders
  • Performs batching process and real-time checkout, including creation of daily batch and end-of-day batch reconciliation
  • Assists with scheduling activities to support improving patient access, including no-show reports and care gap reports
  • Makes change and issues a receipt to the patient
