Job Title: Transaction Coordinator for Real Estate Team

We are seeking a highly organized and detail-oriented Transaction Coordinator to join our Homes From Heidi team. As a Transaction Coordinator, you will play a critical role in ensuring the smooth execution of real estate transactions from contract to close.

Key Responsibilities:
  • Act as liaison between real estate agents, clients, escrow companies, mortgage brokers, and other stakeholders to manage administrative tasks and ensure timely completion of transactions.
  • Create and maintain accurate and compliant files for all transactions, including creating house files in Dropbox and our transaction system.
  • Understand contracts and summarize important terms, conditions, and contingency dates.
  • Communicate regularly with agents and clients to provide updates, reminders, and file compliance status.
  • Establish relationships with third-party vendors, including lenders, inspectors, and appraisers, to ensure a smooth closing process.
  • Draft addenda as needed and maintain records of them on file.
  • Coordinate closing dates, times, and locations, and notify all parties involved.
  • Notify clients about utility accounts to set up or cancel.
  • Draft commission statements and verify commissions for buyer-side transactions prior to closing.
  • Prepare closing files for agents, including documents requiring signatures, initials, and dates, as well as commission amounts for checks.
  • Close out files after closing, including changing MLS status to closed, double-checking files, and processing checks.
Requirements:
  • Excellent communication and organizational skills.
  • Ability to build rapport with clients, agents, and other stakeholders.
  • Strong written and verbal communication skills.
  • Good organizational skills and attention to detail.
  • Learning-based and willing to learn scripts and dialogues.
  • Background or knowledge of the real estate industry, transaction coordination, titles, and mortgages preferred.
  • High school or equivalent required, some college experience preferred.
