Position Overview
The Facilities Operations Supervisor will report to the Senior Manager of Facilities Operations and provide support to Operations Leadership, Regional Facilities Directors, Operations Support teams, and property management teams, ensuring exceptional customer service, guidance, and assistance regarding facilities operations. This role is accountable for the seamless execution of daily operational tasks and documentation related to maintenance management systems, adhering to legal standards. The position will assist in metrics and reporting concerning work order efficiency, accuracy, and compliance with policies. A strong understanding of maintenance management systems and attention to detail, along with strategic thinking capabilities, are essential for this role, as is the ability to facilitate proactive communication among internal departments and property locations.

Key Responsibilities
  • Facilitates the development, training, and implementation of maintenance management systems and operational protocols.
  • Conducts comprehensive analysis and evaluation of performance across the portfolio to ensure compliance with operational agreements.
  • Collaborates with Regional Facilities Directors and Operations Directors to assess operational effectiveness and efficiency, aiming to enhance productivity and financial management.
  • Generates reports that confirm adherence to maintenance standard operating procedures.
  • Partners with various departments on strategic initiatives related to facilities operations.
  • Acts as a subject matter expert on maintenance operations as outlined in contractual agreements.
  • Prepares preliminary performance incentive fee packages, ensuring the accuracy of data sourced from maintenance management systems; reviews all subjective information for accuracy and communicates discrepancies to relevant stakeholders.
  • Supports reporting related to government metrics.
  • Evaluates maintenance programs for effectiveness and provides recommendations for improvement to senior management.
  • Collaborates with the Safety and Environmental Director to ensure consistent practices within maintenance operations.
  • Ensures compliance with all company, local, state, and federal safety regulations.
  • Represents the organization professionally at all times.
  • Escalates property-related issues or crises to the appropriate parties.
  • Serves as a resource for both site-level and corporate roles to ensure adherence to standardized practices across the portfolio.
Qualifications
  • Bachelor's Degree in Business Administration, Property Management, or a related field, or equivalent work experience is highly preferred.
  • A minimum of three years of experience in property management maintenance is required.
  • Familiarity with maintenance management systems is preferred.
  • Experience with database queries and structures for data modeling, extraction, and reporting is preferred.
  • Strong oral and written communication skills, including facilitation and presentation abilities.
  • Excellent interpersonal skills, including leadership, influence, and relationship-building across various functions.
  • Exceptional attention to detail, organizational skills, and strategic thinking capabilities.
  • Proficient in providing end-user support in maintenance and inventory management systems as they relate to onsite operations.
  • Strong organizational and interpersonal skills, capable of working with both technical and non-technical users at all levels.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • General knowledge of financial and accounting principles, property maintenance processes, and their relation to successful multifamily operations.
  • Ability to prioritize tasks, manage multiple projects, and function effectively as a self-directed leader.
  • Self-motivated team player with a keen attention to detail and the ability to prioritize in a dynamic environment.
  • Proactive in identifying and anticipating client needs and making recommendations for enhancements.
  • While working independently, effective teamwork and communication are essential for success.
Compensation
We are dedicated to providing competitive and equitable compensation. The salary range for this position typically falls between $83,200 - $105,100, exclusive of fringe benefits or potential bonuses. This role is also eligible for a performance-based bonus. Final salaries will be determined based on various factors such as geographic location, skills, education, licenses, certifications, and experience. We also emphasize the importance of pay equity. Please note that the mentioned range is the general hiring range for this role, with higher salaries reserved for exceptionally qualified candidates.
