Role Overview:

*Bilingual proficiency in Spanish and English is required.*

Work Schedule: Monday to Friday, including evening shifts.

Act as the primary operational staff member in the clinic, ensuring smooth non-management operations and delivering an exceptional experience for patients.

KEY RESPONSIBILITIES:

Front Desk Operations:
  • Understand patient insurance terminology, eligibility, and accepted plans, including Medicare, Medicaid, and commercial programs.
  • Skilled in processing payments and adhering to cash handling protocols.
  • Manage appointment scheduling and maintain an organized clinic calendar.
  • Deliver outstanding customer service while ensuring confidentiality and cultural sensitivity.
  • Follow proper telephone etiquette for patient and staff communications.
  • Initiate and maintain electronic medical records, ensuring accurate patient registration and updates.
  • Engage patients with My Clinica Connection.
  • Address patient inquiries by providing clear information about policies and procedures.
  • Monitor the lobby area for security, safety, and cleanliness in collaboration with security personnel.
  • Act as the first point of de-escalation for challenging patient interactions.
  • Report any signs of abuse or neglect to a clinic manager immediately.
  • Assist the clinical team with administrative tasks and care initiatives.
  • Oversee visitor check-in procedures.
  • Handle routine lab-related phone calls to patients.
  • Support patients in completing registration forms.
  • Conduct daily outreach based on care planner alerts and other directives.
  • Manage all outgoing communications via mail, email, and fax for the clinic.
  • Participate in organizational workgroups or committees as needed.
  • Possess a basic understanding of financial enrollment and refer as necessary.
  • Receive and manage lab specimens with appropriate handling and storage.
  • Complete daily EMR tasks.
Clinic Office Support:
  • Provide backup to the Office Manager and Clinic Operations Manager.
  • Order medical and office supplies as needed.
  • Maintain inventory and storage areas.
  • Process bank deposits and assist in monitoring clinic finances.
  • Maintain patient education materials and outreach resources.
  • Support compliance-related tasks as directed by management.
  • Assist in training new staff and promoting safety practices.
  • Help with the orientation of new employees.
  • Proactively address unresolved requests and situations.
Referral Management:
  • Respond to patient inquiries regarding policies and procedures.
  • Conduct outreach using the Open Referral Report and gather necessary information.
  • Update and track all referrals in accordance with internal procedures.
Medical Records Management:
  • Perform scanning and data entry of medical records.
  • Process requests for copies of medical records.
  • Manage and distribute faxes while adhering to confidentiality protocols.
  • Serve as a subject matter expert on HIPAA regulations.
Additional Responsibilities:
  • Complete required safety tasks and checks as per CLIA and OSHA guidelines.
  • Receive and properly store vaccines.
  • Conduct routine safety inspections.
  • Ensure accurate patient record matching.
  • Submit work orders for facility repairs and maintenance.
  • Act as the point of contact for external vendors.
  • Manage incoming mail distribution.
  • Maintain knowledge of relevant regulations and seek clarification on responsibilities as needed.
Position Qualifications:

Education and Experience:

  1. High School diploma or GED is required.
  2. Proficiency in Microsoft Outlook, Word, and Excel is preferred.
Knowledge, Skills, and Abilities:
  1. Bilingual in Spanish and English.
  2. Basic computer, math, written, and verbal communication skills.
  3. Exceptional customer service and organizational abilities.
  4. Awareness and sensitivity to the needs of low-income and ethnic minority communities.
  5. Ability to thrive in a team-oriented environment.
  6. Capacity to work under pressure, multitask, and prioritize effectively.
