Job Description

At Bethany for Children and Families, we are seeking a part-time Administrative Assistant to support the day-to-day operations of our School-based Therapy program. The ideal candidate will be highly organized, flexible, and possess excellent communication skills. This role is 60% part-time and offers a competitive compensation package.

Key Responsibilities

The Administrative Assistant will be responsible for:

  1. Checking initial insurance eligibility for clients referred for service through the school-based therapy program.
  2. Completing client payment agreements and obtaining signatures.
  3. Collecting patient liability and posting payments within the electronic record.
  4. Managing client medical records requests, including collecting associated fees.
  5. Ensuring client-related paper documents are scanned into the clinical record, notifications are made to clinical staff as needed, and hard copies are properly destroyed.
  6. Providing technical support to staff related to the clinical record software.
  7. Supporting the day-to-day operations of the Davenport office, including inventories and orders, mail delivery and processing, posting notices, answering and routing phone calls, routing faxes to appropriate staff, and coordinating maintenance and repairs as needed.
  8. Providing administrative support to clinical staff, including making photocopies, mailing letters and other correspondence.
  9. Assisting supervisory personnel with onboarding of new employees, as needed.

Requirements

  • The ability to fulfill all regulatory requirements for employees of a Community Mental Health Center in the State of Iowa or Illinois.
  • A valid driver's license, meeting qualifications to operate agency vehicles, and acceptable auto insurance coverage.
  • High school diploma or general education degree (GED) required.
  • Previous medical or mental health administrative support experience is preferred.
  • Candidates with previous direct experience with medical/mental health claims billing are highly desirable.
  • Working knowledge and understanding of medical billing is preferred.
  • Experience using an electronic clinical record software system is preferred.
