Job Description

As a Customer Service Representative at Doka USA, Ltd., you will play a critical role in ensuring the smooth operation of our logistics and operations department. Your primary responsibilities will include managing all aspects of inventory and logistics on a regional level, including stock optimization and demand planning. You will also be responsible for planning, navigating, and regulating material demands and the logistics process for the branch, developing stock optimization methods in accordance with Doka's strategic direction.

Key Responsibilities:
  • Oversee all aspects of inventory and logistics on a regional level, including stock optimization and demand planning.
  • Plan, navigate, and regulate material demands and the logistics process for the branch, developing stock optimization methods in accordance with Doka's strategic direction.
  • Manage and maintain all aspects of customer accounts and the order process, including order placement and order entry, follow-up, price verification, and product inquiries.
  • Communicate with customers and sales personnel regarding product availability, delivery dates, order cancellations, and order status via phone, fax, and email.
  • Able to effectively handle a high volume of calls and respond to inquiries or resolve issues in a timely manner.
  • Effectively communicate issues that affect the original order status in a timely manner.
  • Accurately handle pricing, order entry, billing, and credit requests in a timely basis.
  • Identify and research any order processing system inaccuracies, recommend solutions, and take action to ensure corrective measures are immediately implemented.
  • Manage the back-order process and consistently ensure that back orders have been satisfied.
  • Identify insufficient inventory and notify logistics/operations personnel to ensure the procurement and equipment transfer process begins immediately.
  • Review order confirmations to confirm accurate billing.
  • Consistently quote the correct custom item cost price and list price to both the customer and salesperson.
  • Ensure all services are invoiced to the customer according to the terms of the contract and/or the customer purchase order.
Additional Responsibilities:
  • Perform other duties/projects as assigned, including participating in company committees/teams.
  • Ensure safe working practices and a safe working environment.
  • Comply with all corporate policies and business practices.
  • Actively participate in facility/equipment management meetings as required.
Qualifications:
  • High school diploma required; Bachelor's Degree in Business or Logistics preferred.
  • 2-5 years of recent experience in administration, operations, or logistics preferred.
  • Experience in inventory control and procurement planning preferred.
  • Excellent communication skills, including command of English (speaking, reading, writing).
  • Strong analytical skills with a strong numeric aptitude, technical proficiency, and effective problem-solving abilities.
  • Proficient in Microsoft Office applications, with advanced Excel skills required.
  • Excellent report writing and presentation skills.
  • Ability to learn new computer systems, products, concepts, and techniques.
  • Organized team player able to work independently in a results-driven, fast-paced environment.
