As a key member of the Finance Department at Medline Industries, the Administrative Support Specialist will provide high-level administrative support to senior leadership roles. Key responsibilities include:

CORE JOB RESPONSIBILITIES:

  • Provide administrative assistance to senior leaders, including calendar management, travel coordination, and document preparation.
  • Facilitate communication between senior leaders and internal/external stakeholders, including vendors and service providers.
  • Coordinate meetings, events, and travel arrangements, ensuring seamless execution and timely completion.
  • Analyze information requests, determine trends, and gather, compile, and verify data for senior leaders' use in documents and presentations.
  • Organize, maintain, and distribute files, reports, and mail, ensuring accurate and timely delivery.
  • Write and transcribe standard operating procedures (SOPs) and other documents, as well as draft procedures, presentations, and reports as directed.
  • Distribute surveys and compile results, providing actionable insights to senior leaders.
  • Maintain email distribution lists, organizational charts, and other administrative tracking mechanisms, ensuring up-to-date and accurate information.

Basic Qualifications:

  • Education:
    • High school diploma or equivalent.
  • Work Experience:
    • At least 4 years of administrative assistant experience.
  • Knowledge / Skills / Abilities:
    • Intermediate level skill in Microsoft Excel, including SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers, and print scaling.
    • Intermediate level skill in Microsoft PowerPoint, including applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style, and formatting font.
    • Intermediate level skill in Microsoft Word, including inserting headers, page breaks, page numbers, and tables, as well as adjusting table columns.
    • Type 40+ wpm.
    • Intermediate level skill in communication software such as Microsoft Teams and Zoom.

Preferred Qualifications:

  • Data analysis and compilation.
  • Intermediate skill level in Project and Adobe Writer.
