We are seeking a highly organized and detail-oriented Lease Administrator to join our team at Lincoln Property Company. As a Lease Administrator, you will be responsible for coordinating the day-to-day activities of the building management office, including vendor invoice management, tenant service coordination, and accounting support.
Key Responsibilities:
- Organize and code vendor invoices for review and approval by the General Manager and distribution to Accounting for processing.
- Mailing of checks to vendors and filing of check and vendor invoice backup in both online and physical files.
- Assist in vendor inquiries and set ups, as well as review of property A/R and A/P in preparation of closing reports to Accounting.
- Assist in preparation of monthly management fee invoices and review and confirmation of tenant charges report, approved by the General Manager and sent to Accounting.
- Assist in preparation of tenant billing adjustments and review and preparation of tenant statements, coordinating backup and distribution.
- Check bank balances for tenant deposits and research and apply cash receipts from tenants.
- Abstract tenant leases and input lease information into the accounting system and complete vendor set ups in the accounting system.
- Assist in compiling the monthly report and maintain supplies for management and engineering teams.
- Answer tenant questions via phone and email, draft tenant letters and email communications, and coordinate building services on holidays.
- Maintain certificate of insurance files for tenants, tracking dates and coverages, and maintain lease files, creating new files as needed.
- Assist in the coordination and execution of tenant events.
Requirements:
- High school diploma required.
- Accounting experience a plus.
- Commercial property management experience a plus.
- Advanced communication skills, both oral and written.
- Strong organizational skills and attention to detail.
- Self-starter, able to manage multiple projects under pressure.
- Ability to work efficiently as a team member, dealing with coworkers and clients at all levels and disciplines.
- Ability to work independently.
- Ability to occasionally work flexible hours, which may exceed 8 hours per day or 40 hours per week.
- Personable and friendly demeanor in person, on phone, and in email.
- Proficient knowledge of Microsoft Office, including Word, Excel, and Adobe.
- Ability to gain proficient knowledge of other software programs as required.
