Job Overview

The Service Coordinator plays a crucial role in orchestrating service solutions that lead to effective work assignments for Service Technicians and optimal outcomes for our clients. This service support professional adeptly schedules repairs and prepares work orders for the service team, ensuring a seamless process. The position encompasses a variety of service administration tasks and procedures.

Key Responsibilities

  1. Manage phone and email communications, providing timely support and guidance on customer inquiries and requirements.
  2. Prepare accurate service quotes and create service call entries in the designated record-keeping system, collaborating closely with management and service technicians to ensure efficiency and accuracy.
  3. Invoice service work and quoted services promptly and accurately, while also processing vendor invoices for Accounts Payable.
  4. Effectively schedule and dispatch service calls.
  5. Order necessary parts for service tasks and maintain records related to these orders.
  6. Process customer credit card payments securely and ensure proper filing of records.
  7. Review sales and service leads, coordinating their delegation to the appropriate personnel.
  8. Perform various warehouse-related duties as needed.
  9. May undertake additional office-related tasks as assigned by the Division Vice President or Operations Manager.

Required Knowledge, Skills, and Abilities

  • Proficient in technology and Microsoft Office 365.
  • Understanding of administrative workflows associated with work orders and invoicing.
  • Exemplary communication and customer service skills.
  • Strong organizational capabilities.
  • Professional interaction skills with both internal and external customers.
  • Able to thrive in a fast-paced work environment.

Education and Experience

A high school diploma or equivalent is required, with a preference for candidates possessing two or more years of relevant experience.
