Job Overview

We are seeking a highly organized and personable Front Desk Representative to be the first point of contact for our company, BeloForm Craft. This role involves greeting visitors, answering and redirecting calls, managing appointments, and providing general administrative support.

Key Responsibilities:

  • Greet and Welcome Guests: Warmly welcome visitors and clients as they arrive, ensuring a positive first impression.
  • Manage Inbound and Outbound Calls: Answer and direct phone calls in a polite and efficient manner, addressing inquiries and redirecting as necessary.
  • Appointment Scheduling: Coordinate and schedule appointments, meetings, and conference room bookings.
  • Maintain Reception Area: Ensure the front desk and reception area are clean, organized, and equipped with necessary materials.
  • Receive and Distribute Mail: Handle incoming and outgoing mail, deliveries, and packages, and ensure timely distribution.
  • Customer Service: Respond to inquiries from clients, visitors, and employees with accurate information about our services and policies.
  • Administrative Support: Assist in other administrative tasks, such as filing, copying, scanning, and office supply inventory.

Requirements:

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Positive and professional demeanor with a focus on customer service.
  • Comfortable handling confidential information.
