Business Operations Support Specialist

We are seeking a highly organized and detail-oriented Executive Assistant to provide critical day-to-day support to our President in Dallas, TX. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communications, and performing various administrative duties.
Job Responsibilities:- Provide administrative support to the President, ensuring they are informed of upcoming commitments and responsibilities
- Draft, review, and send communications on behalf of the company executive
- Organize meetings, including scheduling onsite and virtual meetings via MS Teams and Zoom
- Follow up on action items from meetings and track progress to ensure deadlines are met
- Manage the executive's calendar, including making appointments and prioritizing sensitive matters
- Answer and respond to phone calls, communicate messages, and information to the executive
- Maintain effective systems and processes for simplified document management
- Utilize project management systems to ensure timely completion of assignments and projects
- Monitor and provide regular updates on project statuses and potential bottlenecks
- Collaborate with cross-functional teams to facilitate effective communication
- Manage all confidential matters with discretion and professionalism
- Coordinate travel arrangements
- Bachelor's degree in Business Administration or related field
- At least 5 years of experience supporting senior leadership or stakeholders as an Executive Assistant
- Familiarity with task management systems to facilitate efficient follow-up on assignments
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail
- Ability to manage multiple priorities with professionalism and confidentiality
- Proficient in using Microsoft Office, MS Teams, Zoom, and project management tools
The salary for this position is estimated to be around $65,000 - $85,000 per year, based on industry standards and location.
