Role Summary:

This administrative role, reporting directly to the Vice President of Retail, plays a crucial part in assisting the Retail team to enhance the profitability of the Retail sector. This position provides essential administrative support to the Directors within the department.

Key Responsibilities:

Support for Retail Directors
  • Establish and uphold effective workflows and communications to meet departmental goals.
  • Ensure all transactions are documented, submitting spreadsheets with the correct G/L coding to Accounts Payable for processing.
  • Conduct monthly verification and allocation of MG&A; cross-check all expenses; relay any modifications or reallocations to the relevant Business Units as necessary.
  • Plan meetings/events and arrange travel logistics.
  • Manage expense reporting.
  • Coordinate contract approvals.
  • Facilitate onboarding for new hires.

Activity Coordination
  • Accurately maintain all retail site content across all back-office systems.
  • Track Business Review submissions, manage scheduling, and communicate results. Provide relevant updates and reports to District Managers, Directors, and Regional Operational Managers.
  • Update station information.
  • Support Retail Initiatives and other activities (Retail Operations meetings, trade shows).
  • Collaborate with various business units within the organization to ensure timely completion of tasks.

Financial Administration:
  • Follow up on invoice payments and requisition approvals.
Operational Support:
  • Provide administrative assistance as needed.
  • Ensure Brand Marketing agreements are submitted and communicated effectively.
  • Assist in the administration of various brand programs.
  • Contracts - Provide monthly updates on upcoming contract renewals, support for new operators, and other amendments to agreements.

Qualifications:

Post-secondary education or relevant certification.

Requirements:
  • The ideal candidate must be highly adaptable, detail-oriented, and organized to thrive in this collaborative environment.
  • Ability to work independently while following clear directives.
  • Excellent communication skills and proficiency in Microsoft Office, particularly PowerPoint, Word, and Excel.
  • Capability to prioritize multiple tasks and responsibilities based on business needs.
