Customer Service Representative Job Description

We are seeking a highly skilled and customer-focused Customer Service Representative to join our team at Alaska Auto Rental. As a key member of our team, you will be responsible for providing exceptional customer experiences, ensuring a smooth and efficient rental process, and maintaining a positive and professional work environment.

Key Responsibilities:

  • Provide quality communication to customers over the phone or in person, addressing their needs and resolving issues in a fair and equitable manner.
  • Assist customers with directions, maps, local area information, and vehicle operation, ensuring a pleasant and smooth rental experience.
  • Prepare quotes, reservations, and rental contracts in the rental software, ensuring all required information is accurate and up-to-date.
  • Thoroughly inspect vehicles to document any damages before and after rentals, maintaining a high level of attention to detail.
  • Work as a team with other employees to achieve assigned tasks and business goals, promoting a positive and collaborative work environment.
  • Communicate immediate fleet needs and/or vehicle issues to the supervisor, ensuring prompt resolution and minimizing downtime.
  • Maintain a clean, stocked, and organized rental office area, adhering to company standards and expectations.
  • Follow key-handling procedures to ensure vehicle keys are stored properly, maintaining a high level of security and accountability.
  • Take and send vehicle photos with a smartphone, documenting vehicle condition and any issues.
  • Complete daily opening and close routines, ensuring a smooth and efficient start and end to each day.
  • Process office paperwork as instructed, maintaining accurate and up-to-date records.
  • Transport customers and vehicles as instructed, operating vehicles safely and legally.
  • Assist in facility maintenance, organization, and cleaning, contributing to a positive and professional work environment.
  • Assist in training new employees, promoting a culture of knowledge sharing and development.

Requirements:

  • At least 3 years driving experience, a current driver's license, and a driving record acceptable to our insurance carrier.
  • A high school diploma or equivalent.
  • Ability to work varying shifts and schedules, including weekends.
  • Excellent verbal and written communication skills, with a strong focus on customer service.
  • Good problem-solving skills, with the ability to think critically and resolve issues effectively.
  • Good basic math skills, with the ability to accurately process transactions and maintain records.
  • Detail-oriented and organized, with a strong focus on maintaining a clean and organized work environment.
  • Ability to follow instructions and complete tasks in order, with a strong focus on teamwork and collaboration.
  • Professional customer service experience, preferably in the rental car industry, is a plus but not required.
  • Able to lift 50 lbs occasionally, with the ability to perform the physical demands of the position.
