The Mail Operations Specialist plays a crucial role in managing the flow of incoming and outgoing correspondence with precision. This position involves utilizing manual and automated mail processing equipment to accurately time stamp, open, read, categorize, and digitize incoming documents, as well as preparing outgoing mail by addressing, sealing, stamping, folding, stuffing, and affixing postage to packages.

This is a full-time opportunity.

The compensation for this role is competitive.

Key Responsibilities:
Accountable for the processing and dispatching of company documents across various departments, including:
• Organizing and categorizing outgoing mail

• Packaging and managing outgoing shipments via UPS/FEDEX

• Preparing mail for collection at the end of each business day

• Operating mailing systems (inserter and postage equipment) which includes:
• Loading the letter inserter for production and ensuring successful job completion

• Running completed mail through the postage equipment

• Processing certified mail through the postage system

• Performing administrative tasks such as typing, filing, emailing, document scanning, uploading documents to web platforms, and faxing as required.

• Promoting effective and efficient use of resources and supplies.


Maintaining the confidentiality of personal and financial information in accordance with applicable regulations.

Other duties as assigned.

Required Qualifications:

ESSENTIAL QUALIFICATIONS
• Proficient in general computer operations, faxing, copying, scanning, and telephone communication.


• Familiarity with various software applications, including but not limited to Microsoft Word, Outlook, Adobe, Excel, and web browsers.

• Comprehensive understanding of confidentiality regulations and compliance.

• Ability to follow directives and respond accurately to management's guidance.

• Demonstrates attention to detail and thoroughness. Seeks opportunities to enhance quality and monitors personal work to ensure standards are met.

• Exhibits strong communication skills by conveying necessary information clearly, listening attentively, and asking clarifying questions when needed.
