Job Summary

We are seeking a highly organized and detail-oriented Automotive Title Clerk to join our team at LaFontaine Ford of Lansing. As a key member of our sales team, you will be responsible for processing car deals and preparing legal transfer of documents for the Department of Motor Vehicles (DMV).

Key Responsibilities
  • Process all new and used vehicles for registration in the state in which they will be titled.
  • Prepare tax and title documents, and submit all legal transfer work to the DMV.
  • Verify that funds have been collected and the correct lienholder paid off before processing title applications.
  • Check for accuracy in the application and ensure that all information is complete.
  • Prepare payoff checks for new vehicles and trade-ins, and bill out all dealer trades.
  • Maintain a system to verify out-of-state titles, and compile and maintain a complete list of all outstanding title work.
  • Report to management on the status of any missing or problem titles, and provide a current list of outstanding titles to the comptroller at the end of month.
  • Sign over titles for all wholesalers who have paid in full, and prepare a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.
  • Prepare stock cards for new and used vehicles, post vehicle sales and purchases, and process/ register all vehicle warranties and extended service contracts.
  • Process yearly renewal of dealer tags in conjunction with comptroller, and stay abreast of title regulations.
  • Attend seminars held by local licensing bureaus and any available training on title regulations, and cross-train others to handle title clerk daily responsibilities.
  • Conduct periodic training sessions for F&I managers and sales personnel regarding title regulations and procedures, and issue a written memo to managers and all sales personnel whenever regulations change.
  • Direct title runner in daily routines, and prepare invoices listing items sold and service provided, amounts due and credit terms.
  • Issue credit memorandums to indicate returned or incorrectly billed merchandise, and prepare credit forms for customers or finance companies.
  • Post transactions to accounting records such as worksheet, ledger, and computer files, and access computer files and compile reports as requested.
Requirements
  • High School Diploma or GED.
  • 1 year of office clerical work and automotive dealership experience preferred, but will train the right person.
  • General Telephone Skills, Typing, Documentation Skills, Good Verbal and Written Communication, Dependability, Attention to Detail.
