About this Role

The Contract Administrator will be responsible for auditing new proposals, making changes to existing proposals, and developing contracts. This role involves maintaining a database of outgoing proposals, deadlines, and submittals, requiring strong computer skills.

The contracts administrator will also renew items before they lapse and write bid packages in accordance with laws and regulations, often collaborating with a lawyer.

Responsibilities include reviewing bid insurance requirements, obtaining approvals from the local government, and ensuring all necessary forms and approvals are obtained before construction begins.

Additionally, this role may involve reviewing contractor payment requests and administering payments for contractors, as well as ensuring all contracts are carried out and closed successfully.

Key Responsibilities

  • Interpret contract terms to resolve disagreements between parties
  • Assist with estimating and contracts
  • Receive bid notices and maintain an updated spreadsheet of all bids
  • Place calendar invites to the bidding team
  • Set up bid sheets
  • Prepare sales and purchase contracts
  • Review and update existing contracts
  • Explain terms and conditions to managers and interested parties
  • Ensure employees understand and comply with company contracts
  • Analyze potential risks involved with specific contract terms
  • Stay up-to-date with legislative changes and coordinate with the legal department as needed
  • Ensure all deadlines and conditions described on contracts are met
  • Maintain an organized system of physical and digital records
  • Create language standards for existing and new contracts
  • Ensure documents are properly executed
  • Communicate with Project Manager, Project Administrator, Contract Manager, and subcontractors/suppliers regarding missing contract and insurance items
  • Ensure all contract-related documents are stored according to company policy and procedures
  • Answer general phone inquiries using a professional and courteous manner and direct them to the appropriate staff members
  • Reply to general information requests with accurate information
  • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing faxes, mail, and courier parcels
  • Provide secretarial and administrative support to Contracts Manager and Estimating Manager

Requirements

  • Associates Degree in business, construction management, Paralegal, or an equivalent field
  • Self-Starter
  • Microsoft Office products (Excel, Word, Outlook)
  • Previous work experience as a Contracts Administrator, Paralegal, or relevant position is preferred
  • Knowledge of legal requirements involved with contracts
  • Familiarity with accounting procedures
  • Excellent writing skills
  • Keen attention to detail, with an ability to spot errors
  • Strong analytical and organizational skills
  • Ability to work with varying seniority levels, including staff, managers, and external partners
  • Ability to work effectively under stressful conditions
  • Ability to use discretion and keep sensitive financial-related information confidential
  • Ability to multitask, work under pressure, meet deadlines, and thrive in a fast-paced work environment
