Summary Statement

This role is situated within the State Disbursement Unit of the Banking Section. The incumbent will be tasked with: reconciling multiple bank accounts with a total of approximately $90 million in transactions; investigating and resolving discrepancies in accounts; overseeing Non-appropriated Special Funds (NSF) check recovery; coordinating foreign currency exchanges; and managing the processing of Affidavits of Forgery, stop payments, and reissuance of stale-dated checks.

Essential Functions

The essential functions outlined below are core responsibilities applicable to all positions within this classification. This list is not exhaustive and employees may perform additional duties of a similar nature as required. Reviews documentation such as bills, receipts, invoices, claims, or service contracts to complete purchase orders; ensures accuracy, completeness, and compliance with established procedures and standards. Confirms or determines the correct classification and coding of financial transactions. Utilizes commercial and proprietary automated systems and software to enter, update, modify, delete, retrieve, and report on financial data. Applies standard formulas for calculations; monitors account balances and identifies discrepancies for reporting. Maintains comprehensive financial records, documents, and files. Prepares detailed reports and summaries regarding account statuses or other financial information. Engages in recommending improvements to internal processes, forms, or operational enhancements. Collects and compiles data for higher-level management. Performs general office duties as assigned, including preparing correspondence and distributing documents. May assist with payroll entries and process payroll using automated systems. Provides exceptional customer service to both internal and external stakeholders through various communication methods. Effectively communicates and interacts with individuals from diverse backgrounds, abilities, genders, ethnicities, ages, and races.

Job Requirements

Candidates for the Fiscal Associate II position must demonstrate competence in the following areas:
A minimum of six months' experience in processing accounting, auditing, or payroll transactions in accordance with relevant laws, regulations, and policies. A minimum of six months' experience in ensuring compliance of financial transactions with necessary documentation, calculations, codes, and regulations. A minimum of six months' experience in preparing financial reports that consolidate and present data from various sources in an organized manner. OR An Associate's degree or higher in Accounting or a related field.

Conditions of Hire

This position is part of a classification represented by a labor organization elected by employees for collective bargaining and other employment terms, in accordance with applicable state laws. This role is governed by a collective bargaining agreement.

A satisfactory criminal background check is required as a condition of employment. The recruiting agency may require the applicant to cover the cost of this background check as part of the conditional offer.
