Vital Records and Lien Processing Specialist

Position Overview
The Vital Records and Lien Processing Specialist is responsible for managing applications for vital records in accordance with applicable laws and regulations. This role involves performing administrative tasks and assisting various stakeholders, including the public, legal professionals, and financial institutions. The specialist will provide information in a neutral and unbiased manner while ensuring compliance with current regulations.
Key Responsibilities
Core Duties:
- Manage the processing of marriage licenses, birth, marriage, and death certificate applications, ensuring eligibility of applicants.
- Explain the relevant laws, policies, and procedures governing the issuance of certified copies of vital records and assist with lawful registration and amendments.
- Handle lien filings for various county and state entities, ensuring accurate processing and documentation.
- Conduct daily reconciliation of cash transactions.
- Register Fictitious Business Names and maintain accurate records in the state system.
- Prepare monthly reports for charge accounts and generate statements.
- Create burial permits for funeral service providers.
- Safeguard confidentiality and prevent unauthorized access to sensitive records.
- Maintain accurate financial records for all transactions.
- Work independently while effectively managing multiple inquiries through various communication channels.
- Communicate professionally and efficiently with all stakeholders.
- Prepare documents, reports, and correspondence accurately and in a timely manner.
- Utilize office equipment proficiently to perform assigned tasks.
- Complete all assigned duties with minimal supervision after training.
- Undertake additional tasks as directed by supervisors.
Required Experience and Education:
- High School Diploma or GED Certificate.
- 1 to 3 years of experience in customer service.
- Strong understanding of laws and regulations relevant to this role.
- Proficient in computer use for information retrieval.
- Ability to follow written, verbal, and physical instructions accurately.
- Ability to sit frequently and occasionally walk, stand, bend, kneel, stoop, reach, and lift.
- Upper body strength to lift/move up to 20 lbs. unassisted and 50 lbs. with assistance.
- Effective oral and written communication skills.
- Capability to engage in multi-tasking in a dynamic environment.
