About the Role

We are seeking a highly organized and detail-oriented Real Estate Services Administrator to join our team. As a key member of our Real Estate Management Team, you will provide general administrative support and assist with tenant and vendor customer service.

Key Responsibilities
  • Perform a broad range of administrative tasks, including phone support, correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying, etc.
  • Maintain tenant, vendor, and property files, including insurance certificates, lease abstracts, etc.
  • Work with Building Technician staff and vendors to compile a list of maintenance items and coordinate and monitor the status of work assigned to vendors.
  • Coordinate tenant events and appreciation, and assist with publication and dispersing of tenant newsletters.
  • Initiate rent collections correspondence and phone contact with tenants where permitted by state regulations.
  • Assist with budget preparation by researching costs for supplies and services and acquiring bids as advised.
  • Prepare Common Area Maintenance (CAM) dues, invoices, and related correspondence.
  • Coordinate accounts payable and accounts receivable, coding invoices for payment and inputting into the accounting system.
Requirements
  • High school diploma or general education degree (GED) and a minimum of three years of related experience or training.
  • Ability to comprehend and interpret instructions, correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence, and respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Intermediate to sophisticated skills with Microsoft Office Suite.
