Key Responsibilities:

The Healthcare Customer Service Representative is responsible for the following:
Facilitates a comprehensive range of front desk operations within a bustling primary care environment (e.g., patient registration, appointment scheduling, document management, etc.).

Ensures timely and efficient patient registration processes.

Employs insurance verification tools (e.g., Navinet, Passport, Health Partners portal, etc.) to confirm insurance eligibility at the time of service.

Confirms patient demographic information during each visit.


Guarantees access to the appropriate sections of the Electronic Health Record (EHR) and Electronic Patient Management (EPM) systems during service.

Verifies guardianship and secures consent for treatment of minors when a parent is not present for appointments. Additionally, collects necessary identification and documentation for adoption or foster care as required.

Collects co-payments (when applicable) and accurately posts payments to patient accounts in the EPM.


Projects a positive and professional image of the practice to patients, families, the community, and institutional partners through both personal interactions and telephone communications.

Manages scheduling and confirmation of patient appointments using the scheduling and registration system.

Records, communicates, and delivers messages with a focus on accuracy and timeliness.

Provides clerical support as necessary for the practice.

Reconciles daily fee slips as required.

Handles charge entry tasks as needed.


Welcomes, greets, directs, and/or escorts patients, family members, visitors, physicians, and hospital staff in a friendly and courteous manner.

Delivers exceptional customer service to patients, families, physicians, and colleagues as required.

Manages multi-line telephone systems.
