Senior Logistics Operations Coordinator

Location: Aston, PA.

This role is pivotal in ensuring effective communication with both suppliers and clients to guarantee timely deliveries, aligning with our commitment to meet customer needs. The position reports directly to the Logistics Manager.

Key Responsibilities:
  • Schedule Management: Coordinate and dispatch vendors or independent contractors to designated locations based on customer specifications and requirements, utilizing telecommunication and dispatch software. Relay all essential information (customer locations, pickup types, scanning needs, temperature specifications, etc.) to vendors during dispatch.
  • Vendor Communication: Act as the primary contact for all vendors within assigned routes, providing updates on traffic issues such as construction, accidents, congestion, weather conditions, and other potential hazards.
  • Route Coverage: Ensure all routes are adequately staffed by maintaining contact with vendors as necessary.
  • Emergency Response: Assess and determine appropriate responses to emergencies, accidents, and vehicle breakdowns.
  • Compliance Communication: Communicate Chain of Custody standards (location scanning, specimen handling, parcel scanning, etc.) as required by Capstone Logistics clients.
  • Issue Resolution: Address vendor concerns or grievances and escalate to vendor management when further assistance is required.
  • Call Prioritization: Evaluate the significance of incoming calls and prioritize accordingly.
  • Customer Service Support: Provide assistance to the customer service team as needed, particularly during peak periods.
  • Policy Adherence: Ensure compliance with policies and procedures outlined in the Independent Contractor Operating Agreement.
  • Delivery Method Decisions: Make informed decisions and take necessary actions to select the most suitable delivery methods to meet or exceed customer service expectations.
  • Documentation Management: Maintain accurate records regarding the status of each job within the dispatch system, manage work distribution, and ensure all documentation is complete before job clearance.
Customer Service Excellence:
  • Deliver outstanding customer service by ensuring prompt and efficient courier services according to route schedules and on-demand requests.
  • Engage with customers or supervisory personnel to address inquiries, issues, complaints, and service requests.
  • Keep customers informed of any changes to route schedules or potential delays.
Qualifications:
  • Exceptional verbal communication and problem-solving abilities.
  • Proficient in computer applications including Microsoft Word, Outlook, and internet navigation.
  • Strong interpersonal skills; ability to foster teamwork and motivate others.
  • Familiarity with local and regional geography.
  • Ability to read maps accurately and swiftly.
  • Capable of making optimal decisions under pressure and time constraints.
Skills:
- Excellent communication skills for effective interaction with internal teams, external vendors, and clients.
- In-depth knowledge of freight forwarding, transportation planning, and logistics operations.
- Proficient in logistics software systems such as SyteLine or similar platforms.
- Ability to analyze data and make informed decisions to enhance logistics processes.
- Familiarity with fleet management practices and coordination of vehicle maintenance schedules.
- Knowledge of GPS tracking systems to monitor shipments and ensure timely delivery.
- Strong organizational skills to manage multiple tasks and prioritize effectively.
- Attention to detail to ensure accuracy in documentation and record-keeping.
- Ability to thrive in a fast-paced environment and adapt to shifting priorities.
