This role is crucial for the efficient and precise management of healthcare providers' directives, while also supporting nursing personnel with administrative and reception responsibilities.
Key Responsibilities
- Efficiently processes medical orders entered by healthcare providers into the electronic system.
- Addresses inquiries related to orders as they arise, regularly reviewing charts for outstanding orders that require processing.*
- Organizes all admission documentation in the correct sequence, ensuring accurate labeling with patient identifiers.
- Maintains up-to-date forms, including the Admission Face Sheet and patient contact information.*
- Prepares specialty charts for various departments, including obstetrics, pediatrics, and transitional care.*
- Welcomes visitors, directing them appropriately and responding to inquiries with professionalism and accuracy.
- Manages inventory and ensures supplies are adequately stocked, placing orders as necessary.
- Maintains an organized filing system and ensures that chart forms are consistently updated. Keeps contact lists current and the unit tidy.
- Updates the staff book with new admissions, entering details in the Census Book and obtaining patient identification stickers.
- Initiates patient charts, ensuring they are properly labeled with color codes for the respective provider, patient name, room number, and status.
- Verifies the completeness of charts, ensuring admission orders are present and correctly labeled, and coordinates with Health Information for historical patient records.
- Retains pertinent records in the dictation area until patient discharge.
- Completes infection control documentation for patients starting antibiotic treatment.
- Generates discharge instructions using ExitCare and schedules follow-up appointments, notifying Admissions of discharge times and statuses.*
- Assists in gathering necessary documentation for the Utilization Review Process.*
- Returns previous charts to Health Information as required.
- Faxes necessary information to designated locations, including medication orders to pharmacies and discharge instructions to home health services, nursing homes, etc.
- Conducts necessary phone communications as directed, including coordinating transfers with hospitals, physicians, and families. Initiates ambulance transfer requests as needed.
- Photocopies patient charts for transfers, ensuring all copies are correctly labeled with patient identifiers.
- Maintains accurate records of faxed information and sends this to Health Information in compliance with HIPAA regulations.
- Keeps call schedules and daily boards updated, ensuring the monthly call calendar is current.
- Possesses a working knowledge of office equipment, computer systems, medical record management, and chart retrieval processes.
- Records trauma cases when assigned.
- Answers incoming calls promptly, maintaining a friendly and professional demeanor.*
- Delivers messages to staff accurately and in a timely manner, functioning as a switchboard operator when necessary.
- Pages and documents the on-call surgical team as required, ensuring accuracy and completeness for each surgical case (after hours).*
- Upholds confidentiality in all aspects of the role at all times.*
Required Qualifications
- High School diploma or equivalent.
