Job Title: Community Association Manager

We are seeking a highly skilled and experienced Community Association Manager to join our team at Spaeth Property Services, LLC. As a key member of our team, you will be responsible for providing exceptional service to our clients and their communities.

Job Summary:

The Community Association Manager will be responsible for managing and maintaining community associations, handling all financial, billing, and back office needs. This includes providing efficient and courteous service to visitors, residents, renters, guests, and staff, as well as communicating with vendors and coordinating incoming and outgoing mail.

Key Responsibilities:
  • Answer all phone calls, emails, and inquiries in a timely and efficient manner.
  • Protect the confidential nature of the work.
  • Provide efficient and courteous service to visitors, residents, renters, guests, and staff.
  • Communicate with vendors on an as needed basis.
  • Coordinate incoming and outgoing mail.
  • Work schedule is from 8AM to 4:00 PM, daily, with cyclical nighttime meetings with boards.
  • Utilize the Spaeth SOP as a guideline to the tasks required to be performed according to Spaeth standards.
  • Submit, daily, the required checklist to the C.O.O. as an indication that standards are being followed.
  • Obtain relevant CAI certifications (CMCA, AMS minimum required).
  • Communicate as needed with the Board of Trustees.
  • Schedule meetings with Trustees and SPS staff.
  • Provide the cyclical Board Packet information to the Trustees.
  • Initiate support for the communities via AppFolio thru the generation of work orders.
  • Become a skilled user of AppFolio for the support of assigned accounts.
  • Perform routine inspections, generate relevant work orders for ongoing maintenance.
  • Utilize system for violations and warnings for transgressions against community governing documents.
  • Assist homeowners and boards with modifications via the ARB module in AppFolio.
Requirements:
  • 2-3 years of community association management experience.
  • Remarkable client interaction skills.
  • Experience in working with HOA software.
  • Effective oral and written communication skills.
  • Working knowledge of Microsoft Office.
  • Willingness to learn and work with new programs and technology.
  • Ability to work independently and in a team environment.
  • Self-starter and ability to multi-task.
  • Professionalism.
  • Technologically oriented.
  • Strong organizational and time-management skills.
  • Strategic planning capabilities.
Preferred Qualifications:
  • Bachelor's degree.
