Shipping Coordinator

The Shipping Coordinator will assist the Warehouse Manager in daily transportation support, including organizing and processing shipping orders, routing shipments, scheduling carriers, and utilizing scanning software to scan shipping documents daily.

• Assist in the daily transportation support, including organizing and processing shipping orders
• Route shipments and schedule carriers
• Utilize scanning software to scan shipping documents daily
• Participate in Scanned Physical Inventories as needed
• Receive, organize, and enter shipping orders in software program and mainframe network
• Ensure all documentation for shipments are in order, including proforma invoices, commercial invoices, certificate of origin, and NAFTA
• Monitor stock availability for orders holding for stock
• Release orders based on FIFO inventory
• Schedule pick-up of freight and notify carrier of pick-up date
• Complete Federal Express, DHL, and UPS shipping labels and notify them when pick-up is needed
• Inspect outgoing orders to ensure accuracy, including LTL, Grainger, Uline, etc.
• Obtain freight quotes as needed for shipments while ensuring customer-specific requirements are met
• Use vendor portal websites to route orders following customer-specific requirements, i.e., Grainger and Amazon
• Maintain all updated routing guides
• Trace any shipments at request of Customer Service Department
• Provide information related to orders, changes, and status of delivery to management, corporate customer services, etc.
• Maintain records and files related to own work, organizing records and work efforts to assure timely accomplishment of tasks
• Initiate invoicing of customer orders, including review of orders shipped, sending of the ASN's, and releasing the invoices for distribution
• Enter billing (PRO#'s and small parcel charges) information into system (for freight charges)
• Maintain administration functions (filing) as it pertains to Visual Management
• Perform other duties as assigned

• High school graduate or equivalent, A.S. degree preferred
• Minimum 2 years Warehouse/Distribution Center experience preferred
• Knowledge of international and domestic shipping requirements & regulations
• Proficient in Microsoft Office required, MAPICS and BOSS experience preferred
• Basic mathematical skills required
• Ability to organize, set priorities, meet deadlines, and perform multi-tasks
• Excellent communication and interpersonal skills

The Shipping Coordinator will work in a warehouse environment with occasional exposure to outside conditions.
