Position: Executive Support Specialist to the CEO
Location: Clearwater, FL
Role Overview: In the role of Executive Support Specialist, you will be essential in facilitating the efficient functioning of the CEO's office. Your responsibilities will encompass high-level administrative support, a variety of executive and personal tasks, and close collaboration with both internal and external stakeholders to ensure strategic coherence and smooth execution.
Key Responsibilities:
- Calendar Management: Efficiently oversee the CEO's intricate calendar, organizing meetings, appointments, and travel plans to maximize productivity and prioritize engagements.
- Communication: Act as the primary liaison between the CEO and various partners, managing inquiries, emails, and calls with professionalism and discretion. Document meeting notes and procedural changes as necessary.
- Correspondence: Compose, revise, and proofread a range of communications, including emails, reports, presentations, and other documents on behalf of the CEO.
- Meeting Support: Organize and prepare materials for executive meetings, ensuring the CEO is well-prepared for discussions.
- Project Coordination: Assist in the planning and execution of significant projects, working alongside cross-functional teams to achieve successful outcomes.
- Travel Arrangements: Coordinate travel logistics, including booking flights, accommodations, and transportation, while adhering to company policies.
- Confidentiality: Manage sensitive information with the utmost discretion and professionalism.
- Errands and Personal Appointments: Attend to personal tasks such as running errands and scheduling appointments as requested by the CEO.
- Prioritization: Anticipate priorities and proactively address potential challenges, proposing solutions to enhance operations.
- Expense Management: Oversee and process expense reports, reimbursements, and invoices accurately and promptly.
- KPI Management: Track and manage key performance indicators and prepare reports for regular meetings.
- Ad-hoc Tasks: Support the CEO with various tasks, including research, presentations, event planning, and special projects.
- Events: Organize and coordinate all in-office events and celebrations.
- Travel: Be prepared for occasional travel as required.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Management, or a related field is preferred.
- Demonstrated experience as an Executive Assistant or in a comparable role supporting executives.
- Outstanding organizational and time-management abilities, with a knack for multitasking and adapting to shifting priorities.
- Excellent verbal and written communication skills, capable of drafting professional correspondence.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Detail-oriented with a focus on accuracy in fast-paced environments.
- High integrity and professionalism when handling sensitive matters.
- Strong problem-solving skills and the ability to work independently.
- Excellent interpersonal skills for effective collaboration across all organizational levels.
- Experience in project management and an understanding of business operations is advantageous.
Compensation:
- Competitive salary based on experience and qualifications, starting at 40K and up.
