Job Summary:

The Referral Coordinator will play a crucial role in connecting clients with the right resources and services. This position requires excellent communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities:

  • Respond promptly and professionally to all client inquiries via phone or online platforms.
  • Ongoing education to new and established staff and providers on intake policy and procedures.
  • Coordinate and schedule client appointments for medication management, including initial consultations and follow-up visits.
  • Enter and manage client data in electronic health records systems.
  • Assist with processing and managing medication orders, including verifying prescriptions and coordinating with pharmacies.
  • Address client inquiries regarding medication management, referrals, and appointment scheduling via phone or email.
  • Communicate updates and changes related to medication management and referrals to clients and their families.
  • Ensure all documentation related to medication management and referrals is accurate, complete, and compliant with regulatory requirements.
  • Work closely with medical, psychiatric, and administrative teams to streamline processes and ensure effective communication.
  • Contribute to the development and implementation of policies and procedures related to medication management and referral processes.
  • Advocate for clients' needs and help navigate the healthcare system to ensure they receive appropriate care.
  • For our KAP program, this role will answer phones, respond to basic KAP questions, manage KAP referrals and match providers and clients.
  • Requirement to be in-person part-time when the Ketamine Assisted Psychotherapy clinic opens in 2025.
  • Coordinate scheduling between client and medical provider.
  • Handle all aspects of the referral process for medication management, ketamine therapy, and psychological testing, ensuring that referrals are processed efficiently and accurately.
  • Track and follow up on referrals to ensure clients are receiving the appropriate care and to address any issues or delays.
  • Communicate with specialists and external providers to facilitate comprehensive care and ensure all necessary information is shared.
  • Ensure seamless integration of medication management with other aspects of mental health care, such as therapy and counseling services.
  • Provide training and orientation for new staff members regarding medication management procedures and referral processes.
  • Available for administrative team coverage such as covering for the Psychotherapy Referrals team, covering for Psychiatric Assistants, covering for the Customer Service Specialist, answering phones, managing the Nurse Practitioners schedules, managing administrative team inboxes or other administrative duties assigned at the time.
  • Complete and submit a weekly timesheet.

Requirements:

To be successful in this role, you will need:

  • Schooling and/or experience working in a mental health/behavioral health setting.
  • Customer service experience.
  • Trauma-informed training (preferred) with a client-centered approach.
  • Understanding and practice of using inclusive language.
  • Knowledge of Google Suite applications.
  • Self-motivated, team player.
  • Excellent communication and writing skills. A polished and warm disposition.
  • Excellent organizational skills.
  • Flexibility and an ability to multitask between phones, email, and other online platforms with the ability to prioritize tasks in the moment.
  • Analytical skills, in order to examine current processes and make recommendations for improvements.

Salary and Benefits:

We offer a competitive salary of $45,000 - $60,000 per year, depending on experience, plus benefits and opportunities for growth and professional development.
