EDUCATION AND WORK EXPERIENCE:

High School diploma required.

A minimum of 2 years of experience in customer service or related fields is essential.

SCOPE OF POSITION:

The Reception Coordinator serves as the initial point of contact for the public. Responsibilities include answering phone inquiries, processing donations, distributing snacks to guests, logging visitor information into the system, and assisting staff with returning calls and providing support to guests.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Respond to incoming phone calls and identify appropriate resolutions.
  • Process all incoming checks.
  • Maintain departmental logs.
  • Create and manage physical files as necessary.
  • Update and maintain contact information.
  • Generate reports as required.
  • Oversee supply inventory.
  • Provide administrative assistance to the department head.
  • Perform additional administrative tasks as requested.
  • Intake clients and keep daily service logs.
  • Ensure compliance with policies in the reception area.
  • Perform light janitorial duties as needed.
  • Supervise and train front desk volunteers as necessary.

ADDITIONAL DUTIES:

When the reception area is managed by volunteers, additional responsibilities may include filing for other departments and making phone calls on behalf of the Social Services Coordinator.

PHYSICAL REQUIREMENTS:

  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist intermittently or continuously.
  • Ability to grasp and manipulate objects such as files and file cabinet drawers.
  • Ability to operate a telephone and a desktop or laptop computer.
  • Ability to lift up to 25 lbs. (typically file boxes).
  • Ability to access and retrieve information from a computer.
  • Ability to comprehend written information.
