We are currently seeking a Project Management Assistant to support our Project and Senior Project Managers. This role involves handling various administrative responsibilities throughout the design, pre-construction, and construction phases of project management. Key tasks include managing project scope, timelines, budgets, contracts, and assisting in overseeing the design team's efforts. Candidates must demonstrate the ability to work autonomously with minimal supervision.

Key Responsibilities:

  • Collaborate with the Project Management team to estimate and manage construction projects.
  • Organize and control project elements to ensure successful completion.
  • Review project drawings for accuracy and completeness.
  • Compile necessary details for job bid proposals.
  • Establish and maintain relationships with subcontractors to gather essential information for bids.
  • Assist the Project Manager in preparing the monthly Work in Progress (WIP) report.
  • Support adherence to project budgets and timelines.
  • Monitor project schedules, coordinating activities and addressing issues as they arise.
  • Recommend expenditures and manage contractor contracts to control project costs.
  • Prepare status reports by analyzing and summarizing project information and trends.
  • Travel to job sites as needed to assess progress and address challenges.
  • Contribute to project timelines and deadlines.
  • Ensure a safe and organized working environment by enforcing relevant procedures and regulations.
  • Maintain project databases by updating construction systems.
  • Be available to assist the Project Manager with customer inquiries.
  • Support team efforts by achieving related results as required.

Communication and Responsibility:

  • This role is an individual contributor position, primarily communicating internally, with potential interactions with subcontractors.
  • Participation in meetings with General Contractors may occur, typically in an observational capacity.

Required Skills and Qualifications:

  • Ability to manage multiple priorities in a fast-paced environment.
  • Leadership skills to effectively communicate and influence team members.
  • Positive customer-focused attitude.
  • Excellent interpersonal and communication skills for interaction with stakeholders, developers, and contractors.
  • Strong problem-solving, administrative, prioritization, and multitasking abilities.
  • Proven capability to work independently or collaboratively to achieve optimal results.
  • Proficiency in Microsoft Projects, Office Suite, Excel, Word, etc.

Experience and Education:

  • Bachelor's degree in Mechanical Engineering or equivalent experience preferred.
  • Ability to read and interpret construction drawings.
  • Familiarity with project budgeting and material/labor pricing.
  • Minimum of 2 years of experience in the construction industry, with the capacity to lead projects valued up to $2.5 million.

Physical Requirements:

This position involves typical office work and occasional field travel.
